What we need:

  • Deliver a memorable reception experience with every interaction.
  • General office administrative support, including but not limited to:
  • Coordinating meetings, catering, and setting up conference rooms.
  • Assisting with travel arrangements and manage our online book tool
  • Managing vendor relationships and contracts.
  • Handling incoming and outgoing mail and packages.
  • Ordering and managing office supplies and inventory.
  • Keeping common areas such as kitchens and printing rooms stocked and tidy.
  • Supporting and coordinating building maintenance, access, and parking.
  • Budget Creation & Review: Develop and oversee quarterly budgets for service providers, ensuring costs align with our financial goals.
  • Business Development Support: Facilitate and support external client meetings, providing the Business Development team with seamless logistical assistance.
  • Permit & Approval Management: Oversee the APEGA permit process and manage the van driver approval process to ensure compliance and smooth operations.

Who you are:

  • 5 years of experience in office management, hospitality or client services.
  • Resourceful, proactive and action oriented.
  • Exceptional organizational skills and the ability to multitask effectively.
  • Strong communication skills and a friendly demeanor, perfect for reception duties and client interactions.
  • Proficiency in budget management and experience with travel booking and vendor relations.
  • Ability to lead initiatives and collaborate with various teams to execute events and manage relationships.
  • Familiarity with permit processes and vendor approval procedures is a plus.
  • In depth knowledge of O365 software packages.
  • Reliability and discretion when exposed to confidential information.
