The role

The role will be based in Stockholm and will report to Head of Support. You will be part of an international support team consisting of 9 people spread across our offices in Stockholm, Oslo and Münich. The role may require business travel and flexibility around working hours.

As EA, your responsibility will primarily be to provide administrative support for two Partners in Summa. This includes complex calendar management and coordination of extensive meeting and travel activity.

The role as EA involves a great deal of communication with other assistants internally and externally as well as external stakeholders, and it is important that you can build good relationships.

Tasks

Focus will be on but not limited to:

  • Handle travel logistics including flights, train, rental cars etc.

  • Arrange hotels, restaurants and other

  • Schedule meetings and proactively manage calendars and planning

  • Travel expenses

  • Support in planning of meetings and events

  • Take notes in relevant meetings, and organize follow up points

  • Coordinate wider team events and conferences

  • Ongoing ad hoc tasks

Who are we looking for?

To succeed in this role, you should excel in a fast-paced environment and handle pressure well, with strong organizational skills. You are reliable, able to complete multiple tasks efficiently, and anticipate future needs. You easily adapt to change and approach your work with energy and a proactive, can-do attitude.

Since you will be part of an international company you need to be fluent in English, both verbally and in writing. You should have solid experience using digital tools and MS Office, particularly Outlook.

Your background can be from similar EA/PA positions, but we are also open for candidates with experience from f. ex travel or event industry.

Personal suitability for the role and ability to work flexible hours will be a priority.
