The Property Administrator position provides first-class property management services and assists the Property Management team with day-to-day responsibilities including Accounts Receivable & Accounts Payable, office administration, customer service, and enhancing tenant relations.
Essential Responsibilities:
- Greet guests and visitors to the management office and effectively assist with their concerns in a professional, courteous, and efficient manner.
- Promote high level of satisfaction among tenants by promptly responding to and resolve their service requests
- Assist with Lease Abstracts
- Review cash receipts to submit to APM for approval
- Maintain Tenant contact information and certificates of insurance
- Answer calls to the management office; assist callers or route to the appropriate team member.
- Assure prompt response by other team members through dispatch, telephone messaging and/or other direct contact.
- Acknowledge role as management office “ambassador”; CP’s image is reflected through proper telephone and reception procedures and quality tenant service.
- Use independent judgment to ensure compliance with insurance requirements among tenants, contractors, vendors, and suppliers.
- Document incidents of potential liability to property and equipment.
- Handle calls for regular maintenance of the property, ensuring the safety and security of the premises.
- Negotiate maintenance services with contractors.
- Open, date stamp, and distribute incoming mail; collect and prepare outgoing mail; maintain confidentiality of items marked as such.
- Monitor office supplies and order when necessary.
- Coordinate timely repair and maintenance of office equipment
- Process accounts payable weekly for the APM/Property Manager to review and approve.
- Create statements for misc. charges itemizing amounts due.
- Serve as point of contact for vendors; ensure they are added to Nexus for payments and answer any vendor inquiries.
- Correct/update billable work orders as needed to be able to create tenant misc. bill backs.
- Review budget to accurately code invoices and confirm coding of invoices received from Engineering Dept.
- Contact tenants for rent short payments which may include EOE/rent increase change or misc. billbacks.
Qualifications:
- Experience supporting a commercial property management team
- Experience in Microsoft Office, Excel, reception, work orders, certificates of insurance, tenant interaction, construction management, Angus, and AP/AR.
- Resourceful at identifying and working around obstacles and finding solutions
- Project Management experience desired.
- Demonstrated commitment to customer service
