We are looking for a motivated Program Support Worker to join our MOSAIC Engage team! Not sure if you're 100% qualified? We encourage you to apply anyway! 

POSITION FUNCTION:

The Program Support Worker assists the Coordinators in providing client-based service and administrative support to the CLBPT and CELPIP programs and ensures that all testing procedures are followed. The Program Support Worker may also assist with the other MOSAIC Engage programs that operate at the site.

KEY DUTIES AND RESPONSIBILITIES:

  • Perform administrative tasks: answer inquiries about the programs/projects; file documents; produce documents and spreadsheets; order office/program supplies and maintain inventory; code invoices; enter/record financial data and other data.
  • Respond to client inquiries in a timely manner.
  • Support clients: register them; maintain client records; provide information/referrals and orientation; additional support as assigned.
  • Prepare and/or assist with correspondence, invoices, presentations, publications, marketing, reports, and surveys.
  • Research and compile information and data.
  • Maintain client files to proper standards.
  • Coordinates the movement of clients between waiting room and test rooms
  • Trained as an invigilator to carry out the following tasks:
    • Checks identity of test takers
    • Secures integrity of the test
    • Writes date and timing information on board
    • Ensures that the listening, reading and writing test room is quiet, well lit, and free of distractions
    • Manages the test delivery and timing
    • Remains in the test room for the duration of the administration
    • Collects and count all test booklets and answer sheets
    • Delivers the completed test to the test day supervisor for scanning
    • Ensures invigilation materials are in order
  • Scans all test material to assessment centre for marking if applicable
  • Uploads client ID’s and confirm payments if applicable
  • Answers general client inquiries via both the phone system and inquiry forms
  • Processes additional client requests: enquiries on results, additional Test Report Forms and refunds or transfers if applicable
  • Documents any irregularities and reports to the Coordinator if necessary

QUALIFICATIONS:

  • Knowledge: Office management principles, methods, and procedures; sorting/filing techniques, records retention policies and schedules; proper spelling, grammar, punctuation, and sentence structure; documentation of services and diversity; specific knowledge related to the function or the focus of the program, project, or service.
  • Education/Certifications: Certificate or diploma in business administration, office management, data analytics or a combination of work and appropriate office administration experience.
  • Skills/Abilities: English communications skills, other languages an asset, conflict resolution skills, cultural Sensitivity, organized and able to set priorities and meet deadlines, Initiative, able to work independently and with a team, tactful, discrete, diplomatic, patient, flexible
  • Experience: Organizing and maintaining office procedures; working with individuals from diverse backgrounds, previous experience in a language training/testing/ invigilation settings an asset
  • Physical Requirements: Sitting, standing, bending, and ability to lift 10 kg
  • Other: Current, satisfactory Criminal Record Check

COMPENSATION: $25.68 per hour

HOURS: 35 hours per week, primarily Tuesday to Saturday. Schedule may vary weekly based on team needs, especially during the initial period. Some on-call availability may be required.

BENEFITS:

A competitive benefits package is provided with contracts of at least 1 year in length and which offer a minimum of 17.5 hours of work per week.
