About the Role We are looking for a Compliance Administrator to join our Contracts and Compliance team! Help support PRIME Electric’s Project Management teams, Compliance Department and other internal personnel as well as liaison with Subcontractors and Customer. This role will be focusing heavily on Subcontract Issuance, Compliance Tracking, Internal Contract routing for approvals, Accounts Payable, electronic filing, and much more!

Our ideal candidate will be a hard-working professional able to undertake a variety of Compliance tasks and work diligently under pressure. This person will be comfortable working in an escalated manner within an ever changing fast paced environment, while maintaining a high volume of deliverables and deadlines. The ideal candidate should demonstrate a high degree of attention to detail and accuracy.

The Contract and Compliance team is highly collaborative, emulates ultimate teamwork, and strives to achieve stellar customer service to our project teams, other internal departments, subcontractors, construction partners, clients, and owners. 

This is an immediate full‐time opening.

What You Will Do

  • Reports to Compliance Director, assisting with all contracts and compliance related tasks on any given project from inception to completion.
  • Subcontractor outreach: Weekly compliance reporting and follow-up with subcontractors for outstanding documents.
  • Customer outreach: Weekly follow-up with Customers for outstanding documents.
  • Logging received compliance related documents in PRIME’s accounting system (Vista by Viewpoint).
  • Ability to understand contract language & terms a plus.
  • Participate in team meetings and other inter-company meetings as needed.
  • Shared email in-box organization, review and distribution to other team members.
  • Electronic filing utilizing various methods.
  • Other duties and projects as assigned.

What You Will Need to be Successful

  • 2+ years’ experience in one or more of the following: Subcontract Administration, Compliance Administration, Accounts Payable, Purchasing, Contract Administration, Site/Project Coordination, or Office Administration (preferred).
  • Strong written and oral communication skills, with the ability to interface professionally at all levels, internally and externally (required).
  • Detail-oriented, customer-focused, and exceptionally organized, with a sense of urgency to meet deadlines (required).
  • Ability to multitask, prioritize, and take initiative to provide support to all above referenced internal and external personnel levels, while exhibiting excellent follow-through (required).
  • Intermediate to Advanced Microsoft Office Suite (preferred).
  • Experience with Bluebeam or Adobe Acrobat (a plus).
  • Smartsheet experience (a plus).
  • Self-motivated, hard-working, performance-driven, and extremely reliable (required).
  • Experience with Public Works (Intents/Affidavits, Certified Payroll, etc.) (a plus).
  • 10-key by touch (required).
  • Understanding of Contract Administration, Compliance Administration, Accounts Payable, and Insurance (a plus).
  • Experience in the Construction Industry (a plus).
  • Experience with Vista by Viewpoint accounting software (a plus).
