About the Role We’re seeking a vibrant Front Office Assistant to become an integral part of our lively and productive Admin team! As the first point of contact, our ideal candidate will be an upbeat, positive, hard-working professional able to undertake a variety of office support tasks and work diligently under pressure all while keeping levelheaded. Will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. This is an onsite position based at PRIME’s headquarters, in Bellevue WA. Work Schedule is Monday-Friday, 7:00am – 4:00pm with 1 hour lunch. What You Will Do

  • Manage/triage incoming calls, inquiries and correspondence with a friendly and professional demeanor while referring matters to the appropriate person.
  • Handle general reception duties, including mail and package distribution, order special catering requests for meetings, process outgoing shipping, create name badges for events, etc. Assist colleagues with administrative tasks.
  • Maintain inventory of all office, kitchen, and janitorial supplies; order new materials on a regularly scheduled cycle. Process and code AMEX receipts for Accounts Payable department.
  • Coordinate shipping logistics with carriers such as USPS, FedEx, UPS, and Couriers, many with last minute requests.
  • Update and maintain internal staff contact lists for phone system.
  • Greet visitors in a warm, professional manner and ensure they connect with the individual(s) visiting.
  • Contribute to the smooth function of the office environment.
  • Assist with internal event planning and execution.
  • Keep the office and kitchen areas organized, tidy and stocked doing multiple “stock rounds” each day.
  • Must have valid Driver license and reliable transportation for occasional work-related tasks/events such as interoffice mail to our warehouse and offsite company events.
  • Perform other duties as requested; duties, responsibilities, and activities may change, or new ones may be assigned at any time with or without notice.
  • Adheres to the PRIME Safety Program, following safety regulations and procedures.

What You Will Need to be Successful

  • High School graduate or equivalent and 2 years of Administrative related experience and/or training.
  • Strong interpersonal and communication skills. You have effective verbal, written, and active listening communication skills including conflict resolution. You are able to draft emails and effectively communicate with colleagues and clients in a concise, organized, and clear manner. You have strong customer service skills exercising discretion, patience, and professionalism. You exercise critical thinking, problem solving and collaboration skills, to find solutions quickly.
  • Independent & Highly Organized – You have time management and organizational skills including prioritizing work and meeting deadlines. You can manage multiple tasks, maintain schedules, and keep the office organized all while paying attention to all details with high accuracy. You can work independently with minimal supervision.
  • Proficient with Microsoft Office Suite including extensive Outlook calendaring, Word, Excel, Powerpoint, BlueBeam, etc. as well as ability to operate basic office equipment.
  • Flexibility, reliability, and a collaborative, teamwork-oriented mindset.
  • Ability to lift up to 25lbs on occasion.
