Overview of Role

ZwitterCo is seeking an experienced, energetic Executive Assistant to support the CEO, CTO, and CFO with day-to-day administrative responsibilities and to help create the bandwidth, focus, and structure that the company’s leadership team needs to execute at the highest level. The Executive Assistant will handle scheduling, logistics, and correspondence for the CEO, CTO, and CFO, as well as facilitating high-quality meetings, internal communications, and inter-departmental collaboration.

Candidates with a proven record of effectively partnering with executives, who demonstrate a keen ability to identify and resolve workflow inefficiencies, and who have terrific organizational and communication skills are particularly encouraged to apply.

Responsibilities include:

The Executive Assistant will play a crucial role in helping the CEO focus on high-level responsibilities by handling routine activities, such as travel arrangements, expense reports, correspondence, meeting coordination, ordering lunches and snacks, and office management.

This role will also ensure that the executives’ time is optimized and aligned with strategic objectives by helping to manage the planning, preparation, and quality of meetings, reporting, internal communications, and inter-departmental processes.

Administrative Support:

  • Prioritizing and organizing the CEO's schedule, ensuring optimal time allocation for critical tasks and meetings.
  • Facilitating seamless meetings, including executive scrums and manager’s meetings, preparing agendas, taking minutes, and following up on action items to ensure effective outcomes.
  • Handling correspondence, managing travel arrangements, processing expenses, and providing necessary documentation to support the executive's workflow.

Strategic Execution Support:

  • Organizing the leadership team’s calendar of reporting deadlines, discussions, workshops, and other activities needed to execute the company’s strategic plan.
  • Help to uphold quality and timeliness standards for material preparation in advance of meetings and workshops.
  • Synthesize and communicate outputs from strategic discussions, serving as a bridge between the CEO, CTO, and CFO and the whole company, fostering a culture of transparency and accountability.

Qualifications

  • 5+ years of prior experience as an Executive Assistant, Personal Assistant, or similar role.
  • The ability to respectfully corral members of the leadership team, politely hunt down answers and information, and remove chaos is essential.
  • Outstanding organizational, note-taking, and information synthesis skills.
  • Clear and intuitive business judgement to determine which matters can be handled independently and which matters need executive-level attention.
  • Ability to maintain confidentiality and discretion.
  • Strong verbal and written communication skills, with the instinct to calibrate information for internal and external audiences, as well as whole-company versus executive-level correspondence.

Schedule, Travel, Compensation, and Location

This is a full-time position that will be based out of the company’s headquarters in Woburn, MA, with some hybrid in-person and remote options available. This role will report directly to the Chief Executive Officer, Chief Technology Officer, and Chief Financial Officer.

Travel for this role is expected to be between 0% - 10%.

Compensation will be commensurate with experience and include equity and benefits.
