DESCRIPTION

The Administrative Support Specialist will support the Finance and Human Resource teams by performing general administrative tasks, assisting with vendor management, providing invoicing and reconciliation support, and managing office equipment and supplies. The Administrative Support Specialist may also be required to create reports and communications, and organize events.

  RESPONSIBILITIES

  • Assist with financial reconciliations and reporting

  • Assist with invoicing process, working with operational staff and customers to resolve discrepancies and issues

  • Work with all staff to ensure completeness and accuracy of expense report submissions

  • Participate actively in remote and physical office management, including handling general administrative tasks

  • Schedule events and trainings including new hire orientation, annual compliance training, and company events

  • Manage office equipment and supplies

  • Manage equipment distribution, inventory, and collection

 EXPERIENCE REQUIREMENTS

  • An associate degree in office administration, management, accounting, or a related field preferred

  • Knowledge of Microsoft Office Suite, with proficiency in Excel

  • Experience with Quickbooks Online is a plus

  • Strong communication skills

  • Extremely self-motivated and able to work independently in a remote environment

  • Strong ability to multitask

  • Ability to work quickly and prioritize tasks

  • Highly organized and capable of creating organizational systems

  

GENERAL REQUIREMENTS

Job may require prolonged periods sitting at a desk and working on a computer

This is a hybrid position that requires in office work 2-4 hours per week
