Position Purpose
The Receiving Clerk & Receptionist is responsible for providing essential support to both front office and receiving operations at Farmina Pet Foods. This role ensures efficient and accurate documentation of incoming shipments by coordinating closely with warehouse staff, while also serving as the first point of contact for visitors and callers. By managing administrative receiving tasks from the desk and delivering a welcoming reception experience, this position plays a key role in maintaining organized records, smooth communication, and a positive, professional environment.
Requirements
1st Shift hours are Monday through Friday 6am to 2pm. There may be times where overtime and weekend work may be required.
High school diploma or equivalent required; associate’s degree or additional training is a plus.
Minimum of 2 years of experience in receiving, inventory, or logistics, AND receptionist or administrative support role.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and multitasking abilities.
Ability to maintain confidentiality and handle sensitive information with discretion.
Exceptionally detailed oriented
Key Responsibilities
Receiving and Inventory Management:
Coordinate closely with warehouse staff to confirm delivery details, ensuring all incoming shipments are thoroughly inspected and documented.
Review and verify shipping documents, including packing lists, invoices, and purchase orders, for accuracy and consistency with internal records.
Enter and update inventory data in the company’s management system, confirm details with warehouse personnel and maintain accurate stock levels.
Report any discrepancies or damaged goods identified by the warehouse team to relevant departments for prompt resolution.
Organize and maintain digital and physical files of all receiving documentation, ensuring compliance with audit and regulatory standards.

Greeting visitors warmly, directing them to appropriate personnel and helping as needed.
Answer and manage incoming phone calls professionally, handling inquiries and providing accurate information about the company.
