This role supports our project management team by providing timely and accurate financial reporting,
maintaining subcontractor and vendor compliance, and being the point of contact for project-specific
transactions.
This is an onsite, in-office role at our scenic Park City, Utah, Corporate Headquarters. We are located at the
Kimball Junction exit on the SE side of I-80. Hybrid and remote work are not currently available for this role.
What your day-to-day will look like:
Accounts Payable: Track purchase orders and invoices and process payments/check runs for subcontractors and vendors for assigned projects.
Accounts Receivable: Generate draw requests and other contract-specific invoicing and prepare AIA-format documents. Maintain and update SOV/continuation sheets. Assist the accounting team with any month-end-related collections efforts as assigned.
Maintain consistent communication with subcontractors and vendors with the project managers.
Subcontractor/Vendor Prequalification: Initiate, track, and maintain onboarding requirements such as insurance compliance, tax-related documentation, and ongoing lien waiver processing and collection.
Receive and review subcontractor insurance certificates and update applicable company reporting for expiration tracking.
Maintain contract-related records, including initial purchase orders, change orders, exhibits, and addenda.
Liaison between project management and the finance team regarding servicing client and vendor contracts for timely payments.
Liaison between project management and field operations teams regarding servicing onsite inventory preparations before delivery and coordinating reconciliations of BOM and shipping manifests for fabrication and delivery verification.
As assigned by the finance team, assist with compiling documentation for both internal and external audits.
Create and maintain job files utilizing company software and industry-specific tools.
Provide high-level administrative support, including research, reporting, timely processing of information requests, or other tasks as assigned.
Identify unbilled job cost items monthly to determine whether they should be included in subsequent draw cycles or coded as non-reimbursable, and report variances monthly to the finance team.
You will attend monthly accounting meetings and weekly project management meetings.
Assist project managers with close-out procedures. Confirm that all costs have been received, processed, and included in final billing. Ensure compliance for all subcontractors and vendors is closed and all submittal requirements, including receipt of final lien waivers, are met. Assist in preparing warranty documentation and transferring the project to the field operations team for the warranty period.
What you will bring to the team:
Minimum 2 years of experience as a Project Accountant in construction or related job-cost industry.
Minimum 2-year degree in accounting or business (4-year degree preferred).
Strong understanding of project execution process, timelines, schedules, budgeting, cost reporting, and anticipated profitability.
Ability to communicate respectfully and professionally with co-workers and externally with clients, subcontractors, and other industry partners.
Strong accountability and follow-through.
Exceptional organizational skills.
High attention to detail.
Hands-on experience with spreadsheets, financial reports, accounting software such as QuickBooks or NetSuite, and exposure to industry tools such as ProCore, GCPay, or Textura.
Desire to learn and flexibility to accept new challenges and assignments.
