The positions are based in Iraq /Baghdad city and will report directly to General Manager. The roles will be responsible to provide essential day-to-day support services to ensure the smooth and effective operation of the office and to provide comprehensive administrative support to the country head.

This role encompasses a range of responsibilities, as below:

  • Calendar Management: Effectively manage the GM's schedule, including scheduling appointments, meetings, and conference calls. Ensure the GM is aware of upcoming commitments and potential scheduling conflicts.
  • Document Preparation: Create, edit, and format various documents, reports, and presentations. This includes proofreading and maintaining consistent formatting.
  • Communication Handling: Serve as the primary point of contact between the GM and internal/external stakeholders. Handle incoming calls, emails, and correspondence, and respond or redirect as necessary.
  • Meeting Coordination: Coordinate and schedule meetings, prepare agendas, distribute materials, and take meeting minutes when required. Ensure that meeting logistics.
  • Research and Data Compilation: Conduct research on various topics and compile data to support decision-making processes. Provide summaries and recommendations based on research findings.
  • Financial Support: Assist in budget preparation and tracking of expenses. Help generate financial reports and reconcile expense reports as needed.
  • Internal Communications: Assist in the preparation and distribution of internal communications, announcements, and memos to ensure timely and effective dissemination of information.
  • Confidentiality Management: Maintain strict confidentiality of sensitive information and handle it with discretion, particularly regarding executive-level matters.
  • Event and Travel Arrangements: Arrange logistics for company events, conferences, and business travel for the GM, including booking flights, accommodations, and ground transportation.
