This position sits in the Recruitment, Engagement and Growth division of Adventus where a 'one team' approach is required working alongside colleagues in sales, business development, customer experience and shared services. Your Position

The Visa Officer, is responsible for overseeing the assessment and submission of acceptance and visa applications for the Australian destination on the Adventus and visa portals.

Your Impact

You will be responsible for overseeing, identifying, recommending and contributing to the development and improvements of the regional Australian visa process by monitoring and analyzing the visa patterns in the region and providing training to the regional admissions team members

Your Backstory

  • 3-5 years of work experience within the education industry as a visa lodgement officer or compliance officer for the ANZ region.

  • Experience of using computerized systems/databases to achieve work goals and tasks.

  • Proven experience within an international education related role, preferably within an International Admissions environment focused on the Australian destination.

  • Ability to assess and complete of all relevant forms, checklist and supporting documents for the visa lodgements to UK, Australia, Canada and USA.

  • Ensure that they are processed in a expedited time frame and are error free.

  • Ensure that all information and documentation provided by the counsellor/recruiter are accurate and is meeting the embassy guidelines for a student visa.

  • Provide excellent customer service to all internal and all external clients with a focus on  professional, accurate and timely responses.

  • Support the visa lodgement process including making visa bookings (Medical and bio-metrics) where required.

  • Have excellent communication skills, both written and oral.

  • Demonstrates a growth and continuous improvement-mindset – open to feedback and acquiring knowledge.

Your Contribution

  • Responsible for providing end to end guidance to recruiters on visa applications via email, phone, virtual or personal meetings.

  • Conduct checks on the filling of the visa application and supporting forms prior to submission.

  • Apply a good understanding of relevant GTE and compliance criteria, policies and guidelines to assess and make fair, and reasonable decisions when processing and lodging a visa application of various levels of complexity using sound judgement and reasoning.

  • Detect, Prevent, and Respond to fraud detection by undertaking thorough investigations and integrity checks on documents submitted along with the acceptance and visa files (academic, work, finance, immigration,etc) as necessary.

  • Interview students and make recommendations to the recruiter; request for more information where required, share newly discovered (misleading) data with the provider via the lodgement officer.

  • Respond to inquiries of greater complexity from recruiters and share findings with the provider via the lodgement officer where required.

  • Liaise effectively with partners and stakeholders to achieve departmental business objectives (KPIs, visa success benchmark along with a good compliance track, etc)

  • Ability to manage competing priorities on a day to day basis while maintaining a strong attention to details on GTE and related complex regional operational and administrative matters.

  • May be required to train new and old staff to enhance their understanding of regional visa/ compliance processes to help them to fulfill their roles to a high level.

  • Contribute to continuous improvement and the implementation of change in the workplace.

  • May undertake limited supervision (with support from the Manager) of a small number of staff, if required.

  • Take responsibility for ongoing personal and professional development and seek opportunities to extend skills and knowledge.

  • Work in collaboration with the regional admissions teams to ensure customer service consistency and excellence across admissions.

  • Accountable for the completion and updates of regional compliance/visa processes, reviews and controls.

  • Maintain a deep working knowledge of Adventus portfolio and possess the relevant industry knowledge.

  • The post holder must maintain the confidentiality of information and meet the requirements of the organization’s Data Protection and privacy policies at all times.

  • Accurately maintain databases; organize and maintain files and records, electronic and physical. Produce  and develop reports (weekly/monthly/quarterly/yearly reports and statistics for submission) as required to produce data-driven actions with regards to particular universities, recruiters or geographic regions. Supporting the senior management teams with management reports and special projects.
