General Position Summary

ACP is hiring a Coordinator, Events Business Development to support our growing team as we expand our events portfolio. This Coordinator will be responsible for providing support internally to ACP’s events team and externally to all sponsors and exhibitors interested in or currently engaged in our events. This includes database management, invoice tracking and distribution, administrative support, and delivering excellent customer service for ACP’s high-quality events. 

 

The coordinator will interact with all levels of staff within ACP and with key external stakeholders and members. Excellent communication skills, professionalism, organizational skills, and a desire to impact the industry are necessary attributes for this position. The renewable energy industry is a fast paced, emerging space and ACP’s Events Business Development team reflects that and manages priorities accordingly. This position offers a unique opportunity to develop expertise and grow within a rapidly growing industry.  

 

Duties and Responsibilities

  • Assist with sponsorship and exhibitor inquiries and provide guidance and support as needed. 
  • Track collections, exhibitor applications, certificates of insurance, and sponsorship proposals to maintain organization and compliance for all conference events. 
  • Manage the main lead phone line and email inbox responding to inquiries and directing them to appropriate representative. 
  • Sales support for the annual CLEANPOWER show in conjunction with greater Events Business Development team. 
  • Develop reports and spreadsheets as needed for the department and for leadership. 
  • Track and support financial goals and KPI’s to measure the team’s performance. 
  • Own the invoice management process including the creating, editing, and sending of invoices, as well as collections when appropriate. 
  • Assist the Director with miscellaneous projects, which include but are not limited to sponsorship fulfillment, meeting room sales support, etc. 
  • Travel to ACP events to provide needed support onsite. 

 

Education, Experience & Skills

  • Bachelor's or associate degree, or combination of education and work experience. 
  • 1-2 years of experience in a professional setting with demonstrated responsibilities in database management, marketing, and customer service. 
  • Experience in a sales, events, or like department or organization highly desired. 
  • Must be proficient in Microsoft Office, including Word, Excel, and Outlook.  
  • Experience with Map Your Show and other CRMs preferred. 
  • Excellent oral and written communication skills such as appropriate response times, punctuality, follow through on projects and assignments, and follow up on communications and commitments. 
  • Demonstrated project management and organizational skills such as ability to meet deadlines, move initiatives forward, analyze problems and recommend and carry out solutions. 
  • Desire to learn about the renewable energy industry and major industry trends. 
  • Must have excellent people skills, ability to collaborate with people at all organizational levels, and the knowledge and ability to resolve conflicts. 
  • Excellent, timely and proactive customer service experience.  
  • Ability to travel (15-25%) including occasional work/travel over weekends. 
  • May be required to lift up to 30 lbs. with assistance and have the ability to load/unload shipments. 

 

Job Conditions 

We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Occasional travel outside of the Washington, DC area for meetings or events may be required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas. 

 

We reasonably believe that the base salary range for this position is $50,000 – 65,000. At ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs.
