Note: This is a Project position ending May 05, 2025, open only to internal candidates. Candidates within TOWES would be preferred.

Position Summary

Reporting to the Associate Dean - Applied Research & Workforce Development, the Workforce Development Project Officer will work collaboratively within a multi-disciplinary project team, with the responsibility for coordinating various components of revenue contracts and applied research initiatives in the field of literacy and workplace essential skills/Skills for Success.  

The position will lead on and support project activities including project planning and scheduling, liaising with contractors, coordinating work of project staff and stakeholders, coordinating workflow, managing project files and documentation, implementing marketing and awareness initiatives, and project communications. 

Position responsibilities and accountabilities include but are not limited to:

Project Coordination & Administration 

  • Contributes to project scoping and planning, including environmental scanning, soliciting cost estimates, etc.
  • Compiles high-quality and professional project reports and documentation for circulation internally and externally.  Writes and edits report content and complete graphic design elements.
  • Organizes project events such as advisory meetings, training sessions, and webinars.
  • Implements a system for capturing and amalgamating reporting information from project team members (i.e., monthly activity reports from team members).  Produces a summary document for the project.
  • Implements and oversees a centralized system for managing and cataloging electronic files and IP.  Ensures participant data, IP and other project documentation are housed, archived and destroyed according to privacy guidelines, research guidelines and contract guidelines.
  • Monitors project activities to ensure project is on track. Anticipates problems to ensure the project team members are kept informed of potential delays or issues.
  • Participates in team meetings and contribute to the development of ideas, strategies, objectives, etc. related to the initiative.

Communications & Engagement 

  • Regularly updates the project website to ensure content remains fresh and project activities, milestones and resources are readily available and accessible to stakeholders.
  • Facilitates effective and efficient information sharing between the various project staff.
  • Fields and responds to project inquiries from stakeholders, provides timely and accurate information in response to request.
  • Liaises, on behalf of the project, with internal College departments such as ITS, Marketing, Finance, etc.
  • Creates information sheets, pamphlets and other marketing and promotional materials.
  • Attends industry events, trade shows, conferences, etc. as a project representative.
  • Chairs, and participates in update meetings/teleconferences and other project meetings (i.e., partner updates, advisory committee meetings).
  • Seeks opportunities to showcase the project with relevant audiences.

Applied research and field-testing 

  • Facilitates the successful start-up, delivery and completion of project related field-test activities.

  • Create field-test plans that articulate objectives, activities, timelines, resources and milestones to ensure the project team and stakeholders have a clear understanding of the initiative.

  • Communicates roles, expectations and other key project information to partners.  Delivers training and ongoing support to ensure partners successfully meet project objectives.

  • Oversees field-test logistics such as scheduling, distributing and collecting materials, arranging calls, managing web-based communication and tracking tools. Tracks resources such as time and materials used for invoicing, financial management and reporting purposes.

  • Develops questionnaires, surveys, assessments and other data collection tools.  Ensures partners understand how to evaluate and capture project data to ensure quality of research results.

  • Develops field-test documentation such as consent forms, information sheets, pamphlets, etc. to inform participants about the project.

  • Works with external partners to ensure field-test activities are undertaken according to required standards; provide one-to-one training and feedback when irregularities are identified

  • Facilitates information sharing and workflow coordination amongst the project team and project partners by scheduling regular update meetings call, developing presentations/reports outlining progress, identifying issues of concern to the group.

  • Monitors field-test progress to ensure milestones are met as scheduled.  Identify and anticipate delays or other issues and proactively address problems so deliverables are achieved.

REQUIREMENTS:

  • 2-4 years of related experience

  • Diploma (Education, Social Sciences or related)

  • An equivalent combination of directly related education and experience may be considered

  • Project administration preferred

  • Writing and editing reports and other professional documents/communications

  • Applied research familiarity
