About the Role
As a Property Operations Coordinator, your main tasks include managing owner relations, organizing maintenance schedules, and ensuring our properties run smoothly. You'll need a good understanding of repair processes and costs, as well as the ability to communicate effectively with different people involved in property maintenance. You'll also help the Accounts team with property-related invoices. We're looking for someone adaptable who's willing to take on new tasks as needed.
Key Responsibilities
Coordinate maintenance for our properties, including scheduling repairs and regular checks for things like heating, plumbing, and landscaping
Work with contractors to book services and make sure work is done on time and up to standard
Coordinate maintenance activities with other teams like housekeeping to minimize disruption to guests.
Utilise Asana to meticulously maintain and streamline operational tasks, enhancing productivity and collaboration within the team
Manage the logistics of maintenance tasks, including access permissions, key management, and coordination with on-site staff or property managers.
Ensure compliance with safety regulations and company policies during all maintenance activities.
Maintain accurate records of maintenance schedules, service history, and associated costs for each property.
Help improve our operational processes.
Screen and verify property related invoices when they are received.
Upload invoices into various software programs.
Report on invoices or charges when requested.
Other Responsibilities
About You
At least 3 years of experience in property or facilities management.
Strong communication and interpersonal skills, with the ability to interact effectively with property owners, contractors, and internal teams.
Proficiency in Asana is preferred, as well as strong organizational skills.
Knowledge of repair processes and costs is important, along with the ability to estimate and break down costs accurately.
Excellent organisational and time management abilities, with a keen attention to detail
Proficiency in using scheduling software and other relevant tools to coordinate maintenance activities.
Ability to prioritise tasks and work effectively in a fast-paced environment.
Familiarity with safety regulations and best practices in property maintenance.
A proactive mindset and the ability to identify and address potential issues before they escalate.
Possess a logical mindset that is pre-positioned to work through tasks without error.
Good mathematical and problem solving skills.
