Position Summary: 

The Scheduler is accountable for all aspects of scheduling and coordinating successful evaluations from start to finish. This includes data entry, processing scheduling requests timely, coordinating schedule availability, and troubleshooting issues. The Scheduler will act as a liaison between vendors, physicians, attorneys, and insurance adjusters involved in workers’ compensation and other medical-legal cases. It is the Scheduler’s responsibility to ensure all aspects of scheduling and documents needed prior to the day of evaluation are present and available. 

It is important to know that each case has real-life consequences for the injured worker and the physician. As a Scheduler, you have the power to assist the doctor, the injured worker, the attorneys, and the insurance company by ensuring a smooth evaluation. Additionally, each case represents a significant amount of potential income for the doctor, the organization, and the applicant. Therefore, each case should be handled with great care.

Shift: 

  • Monday - Friday
  • Rotating Weekends
  • 8:00 am - 5:00 pm
  • Some Holidays

Hours may vary depending on projects, deadlines, time zones, and business operation needs  

Essential Duties and Responsibilities: 

  • Proactively works to schedule and confirm appointments in a timely manner to meet department goals.

  • Monitors scheduling queues and proactively acts on all incoming scheduling requests.

  • Coordinate all aspects of scheduling such as physician availability, location availability, and staff availability.

  • Physician Schedule Optimization: Maximize physicians' schedules based on their availability and desired volume.

  • Location Optimization: Maximize the use of available locations for scheduled evaluations.

  • Support Staff Optimization: Maximize available support staff scheduled to work at locations.

  • Works on reducing cancellations, saving evaluations, and working through any rescheduling requests.

  • Reviews evaluations scheduled to ensure they have all of the necessary prerequisites in preparation for the day of evaluation.

  • Communicates scheduling updates in a timely manner to all parties.

  • Data Collection and Entry: Accurately collects and maintains important information in various electronic databases.

  • Manages and maintains Evaluation Day Checklists for the department

  • Generates status reports for the department

  • Manages relationships with vendors and other departments

  • Actively engage with all members of the team, including vendors and external parties

  • Excellent written and verbal communication

  • Excellent customer service

  • Eager to collaborate with others and respect their feedback

  • Coordinates a multitude of daily inputs to successfully and seamlessly provide excellent service

Qualifications and Education Requirements: 

  • A minimum of 2 years experience in a call center, healthcare, legal, clinic setting or similar background
  • High school diploma or equivalent
