The range for this role is $64,000 - $87,000

Actual base pay will be determined based on a successful candidate's work location, skills/abilities, experience, and education. This role includes opportunity to receive an annual bonus target of 5% of annual eligible earnings. Actual bonus amounts are determined by length of time in role, individual performance, and organizational performance.

Candidates must be willing and able to work onsite in our Melbourne, FL headquarters in a hybrid work arrangement, minimum onsite three days per week.

The Job

The Contract Administrator ensures Christian Care Ministry (CCM) and its employees are complying with internal contractual and other procurement policies and procedures, in order to help steward the Ministry’s resources, as provided by the Lord. The Contract Administrator will administratively report to the In-House Counsel. The Contract Administrator will also work closely with the entire CCM leadership team to support the overall mission of CCM and impact the Kingdom of God. In order to accomplish the work properly, the Contract Administrator must be very well organized and have excellent interpersonal skills and motivational competencies.

Essential Job Duties & Responsibilities

  • Review procurement requests - perform due diligence and risk assessments of every contract and purchase assigned to you
  • Advise CCM executives, directors, managers, and all applicable employees on procedures and protocols for procuring equipment, supplies, and services
  • Coordinate requests for proposals, requests for information, and requests for quotes, as required
  • Ensure an appropriate number of bids are obtained to ensure best value, technical acceptance, and fair competition
  • Assist in technical reviews, negotiations, proposal evaluations, and contract awards
  • Participate in pre and post bid conferences with suppliers to clarify standard and special provisions of contracts and proposals
  • Maintain liaison with the suppliers to interpret contractual obligations and to resolve problems
  • Support In-House Counsel in the recommendation of changes to a contract, highlighting conditions that would jeopardize contract performance and/or risk to CCM
  • Prepare negotiation memoranda to explain rationale and methods used in arriving at the final settlement
  • Prepare and review purchase orders and agreements through the appropriate approval and authorization processes and systems
  • Maintain procurement records including various types of contracts and any associated supporting documentation
  • Support the Procurement team in the continual training of internal customers on the various processes, the importance of them, and suggesting ways to improve efficiencies
  • Contribute to the exercise and expression of Christian Care Ministry’s Christian beliefs
  • Perform all other duties as assigned

Essential Skills & Abilities

  • Proven experience with commercial contracting terms, conditions and language
  • Ability to prioritize and organize tasks to meet deadlines, managing multiple priorities while maintaining a high degree of accuracy and strong attention-to-detail
  • Ability to communicate clearly, concisely and effectively, both orally and in written form, to members of CCM (including executives), suppliers and other various audiences
  • Knowledge of contracting procedures, price/cost analysis, and technical evaluation techniques
  • Knowledge of and skill in the use of negotiation techniques
  • Sufficient knowledge of accounting practices to ensure their implementation
  • Ability to manage an entire procurement requirement, from the request for proposal/quote, to contract negotiation and awarding, to tracking requisition approval, to PO creation, to the tracking the payment process
  • Proven ability for continuous improvement and a strong advocate for best processes
  • Strong interpersonal skills - able to forge internal customer and external supplier relationships

Education and/or Experience

  • Bachelor’s degree in Business Administration, Accounting/Finance, Procurement, Law, Sales, or closely-related field required
  • A minimum of 3-5 years’ experience with complex projects, contracts, competitive proposals and procurements required OR
    • an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
