Our Destin, Florida studio is actively seeking a full-time, on-site, Administrative Professional to manage day to day operations. The ideal candidate will be organized, detailed oriented and capable of supporting multiple Principals, managers and employee’. This position will also collaborate with Administrative Professionals in our additional offices. This position will report to the Destin Office Leader.

Qualifications

  • Prior experience as an administrative assistant, office manager, or executive assistant.
  • Great customer service skills
  • Proficiency in MS Office (Word, Excel, and PowerPoint, in particular)
  • Office event coordination experience is
  • Excellent written and verbal communication skills
  • Knowledge of office equipment and setting up virtual conference calls.
  • Strong time management skills and the ability to prioritize work.
  • Scheduling meeting though Microsoft Suite.

Responsibilities

  • Answer and direct phone calls.
  • Manage office calendar and conference room reservations.
  • Plan meetings and office events.
  • Write and distribute email, correspondence, letters and forms.
  • Maintain an electronic and hard copy filing system (current and archives)
  • Order office supplies and office snacks and beverages
  • Provide customer service and support to visitors
  • Maintain general office cleanliness / plant
  • Maintain office facility needs to include scheduling repairs and handling preventative maintenance issues of building and office machines.
  • Prepare and receive packages such as UPS and FEDEX
  • Administer a Lunch & Learn Program including setup and clean up
  • Event coordination
  • Additional duties as requested.
