Primary Roles and Responsibilities

The Office Coordinator will play a critical role in providing excellent service and ensuring the smooth operation of EQ’s Santa Monica Office. This position requires a combination of exceptional interpersonal skills, organizational abilities, and a customer-focused mindset. The Office Coordinator serves as the primary point of contact for visitors, clients, and is responsible for delivering a positive experience while efficiently managing various office tasks.  This role is required to be on-site Monday through Friday, 8:00 am – 5:00 pm.   

Essential Job Functions

Office Coordination:

  • Oversee welcome of guests to EQ’s Santa Monica Office ensuring guests are greeted and made comfortable while coordinating hand-off to appropriate EQ staff
  • Managing guest access using Open Path, including sending and tracking guest invitations, and providing support to guests with access issues
  • Overseeing the workplace reservation system, including scheduling reservations, confirming bookings, and notifying employees of any changes
  • Coordinating lunch orders for employees
  • Keeping office and kitchen inventory - ordering and stocking supplies
  • Maintain office and ensure communal areas are kept tidy and ready for use
  • Prepare guest and meeting refreshments and maintain associated equipment
  • Assist with space planning
  • Oversee office calendar with birthdays and seasonal holidays and execute office celebrations
  • Coordinate Employee and Guest Parking

Provide logistical support for offsite and regional events, including: 

  • Assist with planning and organizing offsites, team-building activities and other recognition events on and off-site
  • Attend offsites and assist with coordinating events, production and distribution of materials, and other related logistical needs

Qualifications

  • Two or more years of office management and support experience in real estate, consulting and/or financial services industries
  • Excellent communication skills in written and oral communications; able to communicate effectively with individuals at all levels of the organization
  • Strategic thinker who can frequently assess the “why” and tailor work product and communication as needed; escalate issues with potential solutions and pivot with changes
  • Meticulous planner who is detailed in planning, execution and follow-up
  • Excellent technical, interpersonal, and analytical skills required; utilization of previous file sharing and collaboration software to understand capabilities and leverage to get things done
  • Works well as part of a team, takes ownership in projects, and works quickly and effectively under strict deadlines
  • Proficiency with Teams, Zoom, Adobe Acrobat
  • Advanced skills with Microsoft Excel, Word, PowerPoint required
  • Ability to multitask in a fast-paced growth-oriented company
  • Ability to occasionally lift and move up to 20 lbs.
  • Punctual, reliable, and available to work from 8:00 am - 5:00 pm
  • Be available to travel as needed(up to 5% of the time)

  

Base Salary Range:  $70,000-$75,000.  This represents the presently-anticipated low and high end of the Company’s base salary range for this position.  Actual base salary range may vary based on various factors, including but not limited to location and experience.
