The Executive Assistant position responsible for providing high-level administrative support and assistance in day-to-day operations. This role requires a proactive and detail-oriented individual who can manage multiple priorities with efficiency and discretion. The role is a key liaison between the Executives and various internal and external stakeholders, ensuring seamless communication and coordination of activities in a fast-paced environment. The Executive Assistant responsibilities include but are not limited to managing various internal processes, calendar and schedule maintenance, travel arrangements, expenses, meeting and event planning and creation of materials for presentations.  This role will support our Chief Risk Officer. It will be based in our Jersey City, NJ office on a hybrid basis. 

What You Will Do:

  • Calendar Management: Coordinate and manage executive schedules, including scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to optimize their time.
  • Expense Management: Manage expense reports and reimbursements ensuring accuracy and compliance with company policies and procedures.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and presentations for the executives. Prepare meeting agendas, briefing materials, and presentations as required.
  • Serve as a point of contact for internal and external communications directed to the executives. Review and respond to correspondence, as appropriate.
  • Take on special projects as assigned.

What You Will Have:

  • Proven experience as an executive assistant or similar role, supporting senior executives in a fast-paced environment.
  • Ability to anticipate needs and proactively address issues, demonstrating urgency and solution-oriented mindset.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent communication verbal and written skills with a high level of professionalism and discretion. Ability to interact at all levels with internal and external stakeholders.
  • Strong collaboration skills with ability to work across diverse teams.
  • Exceptional attention to detail and accuracy in all work activities.
  • Expert proficiency in Microsoft Office applications including Excel, PowerPoint, Word, Outlook.
  • Familiarity with SharePoint, Workday and Coupa a plus.

The base salary range for this role is listed below and will be commensurate with candidate experience. Pay ranges for candidates may differ based on the cost of labor in that location. In addition to base salary, all employees are eligible for an annual bonus based on company and individual performance as well as a generous benefits package.

$95,000$105,000 USD
