Job Summary

We are seeking a highly organized and dynamic Strategic Executive Assistant to provide comprehensive support to our CEO and executive team. This role is pivotal in ensuring operational efficiency and strategic alignment within the organization. The ideal candidate will possess a blend of administrative prowess, strategic thinking, a proactive approach to problem-solving, and viewed as a partner and trusted adviser to the executive team.

Key Responsibilities

  • Provide high-level administrative support to the executive team, including calendar management, travel arrangements, and preparing reports.
  • Act as a liaison between the executive team and internal/external stakeholders to facilitate effective communication and collaboration.
  • Assist in strategic planning and project management activities to ensure the successful implementation of initiatives.
  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Manage confidential information with discretion and integrity.
  • Support the executive team in achieving their strategic objectives by providing analytical support, generating reports, and conducting research as needed.
  • Contribute to the development of internal processes and systems to enhance organizational efficiency.

Required Qualifications

  • Bachelor's degree in Business Administration, Management, or related field, or equivalent work experience.
  • A minimum of 5 years of experience in an executive support role, preferably within a technology or corporate setting.
  • Exceptional organizational skills and the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with the ability to interact professionally with all levels of staff and external contacts.
  • Proficiency in Microsoft Office 365 and familiarity with project management and customer relationship management (CRM) tools.
  • Ability to work independently and in a team environment, demonstrating leadership and initiative.
  • Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.

Work Environment

  • Fast-paced work environment
  • Work in a quiet remote work environment
  • Be available for collaborative work (via computer, videoconference, teleconference, etc.) during Graphite working hours, Monday through Friday
  • Sit for prolonged periods working on a computer
  • Lift basic office equipment and supplies
  • Occasional travel (including air travel) may be required
