Job description

We’re looking for a highly organized and proactive Executive Assistant to join our team at Interactio. In this role, you’ll be the go-to person for our executive leadership, helping them stay on top of things and keep everything running smoothly. If you’re a strategic thinker with strong communication skills and the ability to juggle multiple tasks in a fast-paced environment, this could be the perfect role for you!

WHAT YOU WILL DO:

  • Support our CEO: Own & manage CEO calendar & mailbox, meetings, and day-to-day tasks for our CEO. You’ll be handling everything from scheduling to preparing reports.
  • Coordinate key meetings: Organize high-level meetings like board meetings and leadership team get-togethers. You’ll take care of the agendas, take notes, and make sure everyone follows up on their tasks.
  • Plan travel: Arrange international and domestic travel, including flights, hotels, and itineraries. You’ll also handle any visas or travel documents needed.
  • Travel with CEO: Organize meetings, be part of the meetings, take notes and follow up on next steps.
  • Be the communication liaison: Serve as the primary point of contact between our CEO and internal/external stakeholders. You'll handle drafting and sending communications on their behalf.
  • Help with projects: Assist with special projects and initiatives, keeping things on track and aligned with our goals.
  • Keep things confidential: Handle sensitive information with care and discretion.

WHAT WE EXPECT YOU TO HAVE:

  • Experience: experience as an Assistant, ideally in a tech company. A Bachelor’s degree in Business Administration, Communications, or similar is a plus.

  • Organizational skills: You’ll need to be great at managing schedules, priorities, and multiple calendars in a fast-paced environment.

  • Communication skills: Strong written and verbal communication skills are a must, along with an eye for detail.

  • Language proficiency: High proficiency in English, both spoken and written, is essential for clear communication and documentation.

  • Self-starter: We’re looking for someone who can take initiative, work independently, and also be a great team player.

  • Tech-savvy: You should be comfortable with Microsoft Office Suite, Google Workspace, and if you know your way around project management tools, even better!

  • Professionalism: You’ll need to be professional and able to handle confidential information with discretion.
