We are looking for an Executive PA to develop and provide comprehensive organisational, key administrative and business support to the Managing Director and Senior Management Team.
This role will suit a proactive, discreet and professional PA with proven experience of supporting at Director and Senior Management level.
Main Duties and Responsibilities
The following duties are not shown in order of priority or frequency, nor is the list comprehensive, but rather an indication of the type and level of duties expected of the post.
To act as the Executive PA to the Managing Director and Senior Management Team, providing high-level service, including organising meetings, minute-taking and producing complex documentation in a timely manner and drafting correspondence in relation to standard requests, etc. You will have excellent organization and time management skills. You will also be able to work with discretion, in a confidential environment, working under pressure and to short deadlines.
Undertaking activities such as filtering telephone calls, receiving documents, correspondence, and messages, and responsible for ensuring information is forwarded to the appropriate Manager/Department in an efficient and timely manner.
To have access, as required, to the emails to manage their inbox, highlighting any urgent emails or urgent actions arising from them.
To be responsible for the diary, including arranging travel arrangements, scheduling reoccurring routine meetings, planning and preparing events, working in collaboration with the Operations, Marketing, HR, and IT Departments as required.
To produce/prepare documentation in various formats, including Word, Excel, PDF, PowerPoint and other reports, including confidential material.
Maintain an accurate and efficient electronic filing system and be responsible for records management.
Arrange room bookings, organise hospitality, and order stationery supplies, as required.
Be responsible for ensuring that agendas/papers are prepared sufficiently in advance for meetings and that minutes are accurate. Responsible for disseminating information either in advance or after the meeting and for following up actions directly with those who have been assigned actions to ensure that agreed next steps are carried out promptly.
Any other duties as required by the Directors.
Person Specification
An excellent communicator with an exceptional command of English, you will be adept at managing correspondence and have a good sense of when to consult or seek advice.
You will thrive in a varied and demanding role and use your excellent organisational skills. You will need to work closely with key staff to ensure accurate, comprehensive records are maintained and up to date.
Previous PA experience / Experience providing team/secretarial support
Proficient in Microsoft Office with ability to learn new systems
Advanced Word/Excel/Outlook essential
Confident and polite telephone manner
High level of accuracy and precision
Discrete and confident while maintaining a friendly & helpful disposition
Work well independently and as part of a team
Flexible with a can do attitude
Good communication and people management skills
Able to plan and anticipate requirements & cope with change in a fast-paced environment
