We are thrilled to announce that we are seeking a dedicated and proactive Administrative Assistant/Receptionist to join our team at Life Push LLC! In addition to serving as the first point of contact for clients and visitors, the ideal candidate will play a crucial role in ensuring the smooth processing of paperwork and documentation essential to our operations. This position requires strong attention to detail, organizational skills, and the ability to work efficiently to meet deadlines. This position will initially start as a part-time role with an estimated 20-30 hours per week then transition into a full-time role.

DUTIES/RESPONSIBILITIES:

  • Greet and welcome clients and visitors with a positive and professional demeanor while also keeping records of check in/check out of visitors
  • Answer and direct phone calls in a courteous and timely manner
  • Manage email correspondence and respond to inquiries promptly
  • Ensure all client intake forms and paperwork are completed accurately and in a timely manner
  • Assist with completing invoices for the services we provide
  • Maintain confidentiality and handle sensitive client information with care and discretion
  • Coordinate with team members to ensure paperwork regarding clients is accurately completed and filed
  • Assist in organizing company events and meetings
  • Uphold company policies and procedures with integrity and confidentiality
  • Utilize background in human services to process and ensure quality assurance

QUALIFICATION REQUIREMENTS 

  • Must be at least 21 years of age

  • Must be willing to submit to and pass a thorough multiple background checks

  • Must be able to pass the Life Push drug screen requirements (especially due to the nature of work that is done at Life Push)

  • Must be able and willing to occasionally work after 5pm.

  • Must have a valid driver’s license with the ability to provide a copy of your current driving record. (Driving record must be in good standing) and must have reliable transportation with valid insurance

  • Prior experience in administrative support roles is required; within the human services field is preferred.

  • Ability to manage multiple tasks simultaneously, prioritize workloads, and maintain a well-organized workspace.

  • Proficient in basic computer applications such as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment (e.g., printers, scanners, fax machines).

  • Must demonstrate attention to detail in tasks regarding paperwork processes.

  • Ability to adapt to changing priorities and work environments, demonstrating flexibility and a willingness to take on new responsibilities as needed.

  • Consistently demonstrate punctuality and reliability in attendance, meeting deadlines, and completing tasks accurately.
