ABOUT PROPIEDADES ADELANTE

Propiedades Adelante will be a MEDA-affiliated property management entity that will provide quality property management of MEDA’s properties to ensure residents have affordable and secure housing. The entity will start by managing MEDA’s small site preservation properties and grow to eventually manage MEDA’s tax credit production properties in the pipeline and portfolio.

As the Facilities Manager, you will play a vital role in upholding our commitment to safeguarding housing in the dynamic urban landscape of San Francisco. Focusing on a portfolio of 36 scattered small sites comprising a total of 300 units, this position is of significant importance in maintaining the integrity of our properties in the Mission District and surrounding areas. 

Reporting directly to the Director of Property Management you will be at the forefront of overseeing the maintenance and operational aspects of the assets. Your responsibilities include contributing to our organization's mission by ensuring the sound condition of these properties and cultivating a positive living environment for residents.

In your role as Facilities Manager, you will create, lead, and manage the maintenance team, ensuring the optimal condition and functionality of the buildings under your supervision. This goes beyond routine repairs and maintenance, encompassing a strategic approach to asset preservation. Your focus on our portfolio will be instrumental in achieving our goals of property preservation and creating a positive living experience for our residents.

DUTIES & RESPONSIBILITIES

  • Launch the Facilities Maintenance Program from scratch for a growing portfolio of scattered sites.

  • Develop, implement, coordinate, and oversee preventive and routine maintenance, and repair activities for all properties within the portfolio. This includes HVAC systems, plumbing, electrical systems, landscaping, and general building maintenance.

  • Ensure compliance with local, State, and Federal requirements, SSP Program Guidelines, health, safety, and environmental regulations. Implement and maintain policies and procedures to promote a safe and healthy work and living environment for tenants, employees, and visitors.

  • Hire, lead, and supervise a team of facilities staff, including technicians, maintenance, and custodians. Provide guidance, training, and performance feedback to ensure the team operates effectively and efficiently.

  • Conduct regular inspections and audits for compliance with Local, City, State, and Federal Regulations, Building Codes, and Best Practices. Identify potential hazards and implement corrective actions as needed.

  • Implement best practices and innovative solutions to optimize facility operations and enhance tenant satisfaction.

  • Launch and lead the IIPP Program, adhere to IIPP Guidelines, and provide training to Maintenance and Property Management teams.

  • Implement energy-efficient practices and sustainability initiatives to reduce operating costs and minimize the environmental impact of facilities within the portfolio. Identify opportunities for energy savings and implement measures to improve energy efficiency.

  • Oversee the procurement of supplies, equipment, and services necessary for facility operations.

  • Develop and manage the facilities budget, including forecasting expenses, tracking costs, and identifying opportunities for cost savings. Collaborate with Capital Improvements Manager, Asset Management, and Finance on budget planning.

  • Develop and implement emergency response plans for properties within the portfolio. Coordinate with property managers, tenants, and local authorities to ensure preparedness for emergencies such as fires, natural disasters, or security incidents. Conduct annual training.

  • Manage relationships with external vendors, contractors, and service providers to ensure high-quality and cost-effective services. Obtain quotes, negotiate contracts, and oversee the performance of vendors. Ensure Insurance Certificates are on File for On-Site Vendors.

  • Maintain accurate records of physical assets, maintenance activities, service contracts, and equipment warranties. Prepare regular reports on facility performance, maintenance expenses, and operational metrics.

  • Adhere to Fair Housing, Equal Employment, and Equal Housing Opportunity, IIPP and OSHA Standards.

  • Respond to emergencies and alarm monitoring.

  • Perform Other Duties as Assigned.

YOUR KEYS TO SUCCESS

To perform successfully in this role, you will need to leverage these key qualifications

  • Bachelor's degree in facilities management, engineering, or a related field) or High School Diploma and relevant Certifications (e.g., Certified Facility Manager, LEED accreditation, Project Management, Construction Management), Graduate of a Technical or Trade School.

  • Proven experience in facilities management, affordable housing, and property management, with a minimum of 5 years of relevant experience.

  • 4+ years of supervisory experience or managing teams

  • Strong knowledge of building systems, maintenance best practices, and regulatory requirements.

  • Advanced mechanical skills, including plumbing, HVAC, and other building systems.

  • Excellent leadership, communication, and interpersonal skills.

  • Ability to problem-solve effectively, and make sound decisions under pressure.

  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.

  • Proficiency in facility management software, Google Suite, and Yardi preferred.

  • Proficient in repair equipment and techniques.

  • Demonstrated understanding of construction and local building codes.

  • Skilled in designing/implementing processes, sometimes from scratch.

  • Ability to balance budget and project demands.

  • Proven project management skills.

  • Strong analytical, logistics, and problem-solving abilities.

  • Proficient in office technology (PC, MAC, Printers, Copiers, Network).

  • Availability outside regular office hours for emergencies and special projects.

  • Can lift up to 50+ pounds and climb a ladder

  • Spanish fluency is required.
