Job description

We are looking for an EA/Office Manager to join our team in London, as a 9 month fixed-term contract for maternity cover.

Summary

In this role, you’ll be acting as Executive Assistant to our Co-Founding team and Commercial Director. As the single most important person in helping them to manage their responsibilities and relationships, you’ll assist them in moving nPlan forward so that we can achieve our vision. You’ll make sure that we build exceptional relationships with our clients, that the necessary information is available to make key decisions fast, and that our brilliant team is supported and empowered.

You’ll also be managing our amazing small office in Spitalfields, complete with terrace, loads of snacks and all the board games you could ever want! This is a managed, serviced office so you won’t need to sort the tricky things like business rates, maintenance or cleaning.

As part of our small and very friendly Ops team, you can expect to be working in a fast-paced environment. Initiative, an agile mindset and strong organisational skills are very important, but we also highly value having fun and building strong relationships!

About the role

EA responsibilities

  • Your most important work will be providing day-to-day support for our Co-Founder and CEO. This includes inbox and diary management, sorting travel arrangements (UK and international), managing briefing and preparation for meetings, and directing or resolving incoming tasks and information. You’ll use your knowledge and initiative to ensure that the correct tasks take precedence and are followed up on promptly.
  • You’ll also provide support to our other Co-Founder, our CTO, with diary and inbox management and ad-hoc tasks. There will also be some support to our Commercial Director.
  • You’ll act as the gatekeeper between nPlan and external parties, and an important bridge between our Co-Founders and internal teams, using and employing trust, discretion and support to build strong relationships.
  • You’ll prepare presentations, reports and other documents as required.
  • You’ll provide administrative support for important meetings (such as our regular board meetings), taking minutes and ensuring that the appropriate information is available and shared in good time.

Office Manager responsibilities

  • Our office is in Second Home, which means that all of the big things are taken care of for us (rates, cleaning, maintenance, IT, building insurance). Your role is to make sure it functions as our home, and a place we love!
  • You’ll liaise with the Second Home team to ensure any issues are resolved.
  • Snacks are important to us! You’ll keep our office fully stocked with supplies.
  • You’ll manage, organise or assist with events.
  • You’ll make sure we are compliant with health, safety and legal requirements (such as office risk assessments).
  • You’ll set up and maintain office IT equipment, such as computer monitors, TVs and conferencing equipment
  • Occasionally, you’ll take on other ad-hoc admin tasks and projects as required.

About you

  • At least 2 years’ experience as an Executive Assistant, Personal Assistant or equivalent, preferably at a fast-growth company and ideally at a start-up/scale-up. Office management experience is preferred, but not required.
  • You’re confident using GSuite, Slack and Whatsapp, but you also don’t mind picking up the phone on occasion.
  • You’re able to manage a busy workload independently, and use your initiative to make sure that the right tasks are prioritised.
  • You’re the most organised person we know, with strong attention to detail.

  • You have excellent communication skills and find it easy to build relationships and gain trust with stakeholders and colleagues.
  • Above all else, you have a personality that is driven by helping others.
