You will be responsible for assisting the Founders (CEO & CGO) and being the Headquarters Office Manager. You will also work closely with and support the People, Sales and Marketing departments. 

The impact you'll make - Core Areas

Founders’ Assistant responsibilities:

  • Personal Assistance to the Founders with ad hoc projects and business/personal tasks.
  • Complex calendar management for both the Chief Executive Officer and the Chief Growth Officer (co-founders). Meeting coordination over different time zones and inbox management while maintaining confidentiality.
  • Travel and daily itinerary arrangements both local and international: booking and coordination of flights, chauffeurs, meeting venues and accommodation.
  • Managing the meeting cadence for the Founders, ensuring materials are sent in advance, time is well spent, actions are captured, and objectives are achieved.
  • Admin duties such as expenses management, coordination and signature of legal documents and creating databases for keeping track of relevant information.
  • Liaising directly with internal and external stakeholders, helping with clear communication and proactively initiate and follow up on actions and tasks.
  • Planning and coordinating at full length private events for the Founders and external stakeholders.
  • Data entry and screening of ad-hoc projects. Creation of templates, drafts and presentations. Proofreading and reviewing documents.
  • Act as the first point of contact for general enquiries: e.g., phone calls and post: direct and distribute these to other team members or respond directly.

Office Management responsibilities:

  • Be the main contact for our London office, take ownership and be proactive regarding all administration and operations aspects.

  • Provide daily end-to-end office support and problem solving.

  • Liaise with our office building front desk and building manager on any issues that need resolving.

  • Management and tracking of UK employees office access passes and office facilities.

  • Receive and welcome Parser guests.

  • Manage offices daily supplies such as snacks and fresh fruit.

  • Manage office correspondence and parcels.

  • Assist the UK team with meeting rooms bookings and coordination.

  • Assist with planning and coordinating company trips, retreats, and other special events.

  • Drafting internal and external communications when needed.

  • Work closely with the sales team, assisting with the execution of ad-hoc and recurring events related tasks.

  • Management of Parser UK merchandise.

  • Onboarding New Team Members organising the logistics and a warm and smooth welcoming

  • Plan and coordinate the UK's team After Office Get Together events and internal office gatherings.

  • Be an active member and promoter of Parser’s Culture, and Team events and celebrations.

  • Strengthen the sense of belonging and community at Parser.

Qualifications & key strengths:

  • Minimum of three years’ experience as an Executive/Personal Assistant in a similar support role.

  • Minimum of one year of experience as an Office Coordinator in a similar support role.

  • University Bachelor's Degree in administration, communication, HR or other related fields.

  • Excellent written and verbal English communication skills.

  • Proficient with computer skills such as MS Office, Google Drive, Spreadsheets, Gmail and operating systems MacOS and Microsoft Windows.

  • A good level of Spanish language is a plus.

  • Ability to organise a daily workload by priorities.

  • Must be able to meet deadlines in a fast-paced, quickly changing environment.

  • Positive, professional attitude, and able to remain calm under pressure and sometimes a demanding working environment.

  • Effective communication and ability to deal with C-Level executives, senior members of the team and clients.

  • Able to work on own initiative and be able to solve problems quickly and effectively with little direction.
