JOB SUMMARY:

The Office manager is responsible for overseeing the daily operations and efficient functioning of the Branch office; facilitating various tasks that support business operations.

ESSENTIAL JOB FUNCTIONS:

• Manages office operations
• Establishes and coordinates daily schedule
• Creates and coordinates load lists
• Assists with requisitions and purchase orders for Field Operations Manager
• Leads and coordinates field personnel training initiatives
• Coordinates and processes payroll for the field staff
• Works with HR for completion of new hire paperwork
• Assist in management of equipment recordkeeping and transactions
• Identifies and helps initiate improvements to increase efficiency
• Works with HR and IT to coordinate equipment needed to be set up for new hires
• Provides exceptional customer service
• Handles incoming calls
• Performs general administrative duties such as filing, photocopying, scanning and faxing
• Prepares outgoing correspondences, accepts incoming correspondences, open and sort mail/FedEx/UPS
• Orders office supplies and equipment / Maintain office supplies and inventory
• Additional related responsibilities as assigned

REQUIREMENTS:

• Bilingual; fluent in both English and Spanish required
• Associate’s degree in business or related major preferred
• 6 + years’ experience in an Office Manager/Executive Administrative Assistant role
• 3 + years’ experience working in various technology platforms (ERP, Estimating Software, Inventory Management System, etc.)
• Proficient technology skills
• Proficient in Microsoft Office
• Strong verbal, written, and interpersonal communication skills
• Must have high attention to detail, be highly organized and able to multitask, often with minimal supervision
• Prior experience with financial software is a plus
• Prior Aspire (Field Service Management Software) experience a plus
