Design Department Administrator

IMMEDIATE EMPLOYMENT

  • In office 5 days a week, M-F
  • $25-$30/hr. DOE
  • Full Time Non-Exempt/Hourly Position
  • Reporting to the Fire Alarm Design Manager

Basic Duties & Responsibilities:

The Design Department Administrator will be responsible for supporting designers with projects that require approval from the Fire Department and City Halls by submitting and picking up projects that require in-person plan checks from City Halls. This is a position with an extremely fast-paced setting that provides an opportunity to work in a team environment.  A successful design administrator must be able to multitask and have computer knowledge, customer service, and excellent verbal and written communication skills.

Responsibilities include:

  • Provide support to the Design Manager and Designers as assigned.
  • Submit projects to City Halls and Fire Departments that allow on-line submittals.
  • Driving to City Halls & Fire Departments for in-person submittals.
  • Tracking of submittals through to AHJ approval process. Calling City Halls, and AHJ’s for status.
  • Maintain & update google documents as projects are progressing through the design phase.
  • Making multiple copies of projects on a large format copier/plotter.
  • Scanning projects for submittal, filing, and archiving.
  • Creation of project equipment submittals which will involve gathering of product specifications.
  • Participate in project coordination meetings as directed by the Design Manager.

Looking for someone who has:

  • Minimum of 1 year experience as an Administrator, preferably in a construction/contractor environment.
  • Computer skills and experience with computer programs (Microsoft Office 365, Outlook, Excel, Word, Smartsheet, etc.)
  • Ability to multi-task and work in a team environment
  • Ability to work under pressure and prioritize tasks
  • Be self-motivated and a self-starter
  • Have good communication and interpersonal skills
  • Able to communicate ideas and instructions clearly both written and verbally
  • Work well with others, be well organized and thorough
