Position Summary

The Accounts Payable Supervisor consultant will serve as an integral part of the Finance team and will report directly to a Contract Accounting Manager who reports to the Chief Accounting Officer who oversees accounts payable, accounting, financial reporting, and financial planning. The Accounts Payable Supervisor is responsible for the Accounts Payable Function including processing all the payments. There are no direct reports for this position. 

Key Duties and Responsibilities

  • Responsible for management of full cycle Accounts Payable including respond to vendor emails, match vendor invoices to purchase orders, create weekly payment batches, and create wires, ACH, and checks through the banking website 
  • Set up new vendors in Great Plains and the banking system 
  • Prepare and submit the weekly payment register to Finance management accurately and timely
  • Manage Vendor relationships and respond to vendor inquiries within 24 hours
  • Review monthly vendor statements and research and correct discrepancies
  • Review the Open Invoice report weekly and follow-up on approvals for invoices coming due within two weeks
  • Manage the Finance credit card expense coding and receipt reconciliation 
  • Maintain 1099 data in Great Plains and prepare RMI 1099 Forms for annual tax filing
  • Review and process all expense reports in Concur 
  • Lead monthly Accounts Payable close process and assist with month-end AP reconciliations
  • Maintain a strong system of financial internal controls for Accounts Payable
  • Other duties and projects as needed

Desired Education, Skills and Experience

    • Associate degree in accounting or equivalent experience 
    • Minimum 5 years’ experience required as an Accounts Payable Specialist working independently, or as an Accounts Payable Supervisor 
    • Experience with Microsoft Great Plains strongly preferred
    • Experience with Medius Flow or other AP Automation Software required
    • Experience with ReQlogic or other automated procurement system required
    • Experience with Concur preferred
    • Experience in Life Sciences at a public company preferred
    • Ability to research and resolve vendor inquiries quickly and accurately
    • Proficient in Excel and Word with 10-key by touch
    • Strong problem-solving skills, basic accounting principles knowledge, research and resolution skills, and multi-tasking skills
    • Thorough knowledge of applicable accounts payable/general ledger systems and procedures, and financial chart of accounts
    • Ability to work independently in a fast-paced environment with emphasis on accuracy and timeliness
    • Attention to detail and demonstrated ability to follow a strong system of financial internal controls for Accounts Payable and Cash Disbursements consistently
    • Maintain systems, procedures, and policies applicable to the accounts payable function to ensure efficient company operations and compliance with corporate policies.
    • Excellent communication skills, organizational skills, with the ability to self- manage and meet deadlines

 The expected salary range for this position based in California is $90,000 to $120,000 annually. Actual pay will be determined based on experience, qualification, geographic location, and other job-related factors. Company is posting role confidentially.
