Proposal Specialist

Job description

Summary: Assist in the process for responding to solicitations (SF330, RFQ, etc.) by organizing,
compiling and submitting compliant, professionally produced response. Work closely with
the Marketing Manager to coordinate project responses, project descriptions, resumes.

Core Responsibilities:

  1. Coordinate all phases of the proposal process managing all aspects of each proposal, including
    providing quality assurance prior to final approval.

  2. Read and analyze RFQs and create content for readability, consistency, clarity, and compliance
    with requirements in both RFQ and SF330 response formats.

  3. Participate in proposal kick off coordination/meetings to establish priorities and target dates for
    information collection, writing reviews and approvals to meet proposal deadlines.

  4. Provide word-processing, desktop publishing, and graphic design skills to produce proposal
    materials (resumes, project profiles) for qualifications/proposal responses.

  5. Other responsibilities as assigned.

Skills and Knowledge:

  1. Excellent written and verbal communications skills.

  2. Precise attention to detail.

  3. Proficiency with MS Office and Adobe Creative Suite, specifically InDesign.

  4. Effective time management and planning skills.

  5. Superior organizational skills.

  6. Proven ability to effectively work with technical experts inside and outside of the organization.

Education and Work Experience:

  1. Bachelor's Degree or Associate's Degree in marketing, English, journalism, communications, or
    other related field.

  2. Must be proficient with InDesign software.

  3. Two (2) or more years' of related experience in RFP/proposal management from conception to
    completion, desired.

  4. Marketing or business experience preferred.

  5. Experience in architectural/engineering industry and/or building envelope industry preferred.

Physical and Environmental Demands:

  1. Ability to safely operate a motor vehicle, and at times, hand deliver responses to clients.
  2. Sitting 75% of time using computer equipment including desktop or laptop computer, keyboard,
    mouse, etc.
  3. Physically producing proposal responses using production equipment including binding
    machine, copier/printer, etc
