RH2 is currently seeking an organized and collaborative Office Coordinator to support our Tacoma, WA office location.
Responsibilities
- Performs general office tasks such as routing phone calls, processes incoming/outgoing mail, schedule meetings in MS Outlook, setup meetings in conference rooms, maintain office and kitchen supplies, and responsible for overall office organization.
- Assists in the preparation of letters, memoranda, reports, specifications, and other technical-related documents from rough drafts to final product following internal procedures. Coordinates Director reviews and obtains signatures. Copy, collate, scan, and prepare material for distribution as requested.
- Assists professional staff in the preparation of client and subconsultant contracts following internal contract review procedures. Tracks document status to ensure it moves forward toward completion before the deadline provided.
- Maintains network and paper copies of project files. Prepare files for archiving or destruction following internal procedures.
- Assist Administrative and Marketing staff in other offices when time workload permits. Conducts research on various topics, as assigned.
- Coordinates office social events including setup and breakdown.
- Other duties, responsibilities, and activities may change or be assigned.
Qualifications
- 0-2 years in a supporting administractive role
- Microsoft Office Suite including Outlook, Excel, Teams, and Word preferred at an intermediate skill level, and experinece with Adobe Suites or PDF XChange Editor
- Good communication skills, both verbal and written, and organizational skills
- Demonstrated time management skills and ability to prioritize and tackle tasks
- Willing to learn and work in an office environment
- Associates degree desired, Bachelor’s degree preferred or equivalent office experience
