We are looking for a proactive and ambitious Executive Assistant to join our Asbury Park office and play a critical role in supporting our leadership team. The ideal candidate will be highly organized, resourceful, and adept at managing diverse administrative and executive responsibilities. This role demands exceptional communication skills, a keen sense of discretion, and the capacity to excel in a dynamic and rapidly changing setting.   The Executive Assistant will primarily support Solar Landscape's CEO and President/CLO, while also extending support to the CFO, COO, CSO, and leaders across our Business Development, Finance, Technology, Strategy, Marketing, and Operations departments.

Responsibilities

  • Calendar Management: Proactively manage executives' calendars, strategically prioritizing meetings, and inquiries to optimize their time and productivity.
  • Communication: Act as the primary point of contact between the executives and internal/external stakeholders, handling inquiries and requests professionally and promptly.
  • Travel Coordination and Booking: Skillfully coordinate travel arrangements, including flights, accommodations, and ground transportation, considering cost-efficiency and executive preferences.
  • Gatekeeping: Act as a gatekeeper, resolving scheduling conflicts, tracking tasks, and filtering emails to streamline executive communication.
  • Meeting Organization: Organize meetings, both internal and external, to facilitate executive engagement and networking opportunities.
  • Document Tracking: Monitor project document signatures, working closely with the legal team to ensure timely approvals and adherence to legal requirements.
  • Project Support: Provide administrative support for special projects and initiatives as assigned by the executives.
  • Expense Management: Process and reconcile expense reports in a timely manner.
  • Office Management: Assist in maintaining a well-organized and efficient office environment, including ordering supplies and overseeing office equipment.
  • Ad Hoc Support: Respond to ad hoc requests and assist with miscellaneous tasks as needed.

Qualifications

  • 1+ years of experience in an administrative or executive support role.
  • Bachelor's degree in business administration, environmental science, or a related field preferred.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Strong organizational skills with the ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Excellent communication skills, both written and verbal, with a high level of attention to detail.
  • Proactive mindset with the ability to anticipate needs, solve problems, and make decisions independently.
  • Flexibility and adaptability to changing priorities.
  • Passion for renewable energy and a commitment to sustainability.
  • Ability to work in our Asbury Park, NJ office 5 days/week.
