Practice Coordinator at Southeast Veterinary Neurology

Administrative Support:

● Assist the Practice Manager (PM) with maintaining the daily task list to ensure the completeness and accuracy of tasks.

● Compose email responses for internal communication. Subject to approval from the practice manager.

● Assist with onboarding new team members including:

○ Setting up AVMA PLIT login

○ Ordering of uniforms, including doctor and nurse scrubs, fleece jackets, CSR

uniforms, name badges

● Assist with managing employee CE Request and Record Keeping Forms for registration, hotel/flight bookings, and CE bank balances (through the HRM).

● Facilitate employee pet boarding per SOP and PM approval, and notify employees of approval/denial of pet boarding requests.

● Filter ezyVet communications with PM

● Assist with timecard edits and approvals

● Sort and organize employee personnel files

Inventory and Order Management:

● Daily/Weekly review of stockroom inventory checklists against supply quantities, and provide an order list to the PM for processing.

● Hospital supply orders via Amazon

● Receive inventory orders into ezyVet

● Invoice & Receipts - Review inventory deliveries and assign GL codes and submit to Bill.com

Financial Management:

● Assist PM with accounts pending payment (A/R) through daily End of Day Wizard and Aged Receivables report

● Perform client collections using an approved process and PM oversight

● Contact vendors to collect bids for on-site hospital maintenance and repairs as requested by the PM and/or DOO/COO

Company-Wide Duties:

● Create shared staff meeting slides focusing on company-wide topics as needed

○ Quarterly request and creation of Notable Neuron announcements and awards

● Generate/send hospital-wide emails on behalf of management (facility updates, company protocols and procedure reminders or updates)

● Meeting scrubs for management meetings (Quarterly Strategy Meetings)

● Assist with quarterly planning guide population for SEVN doctors and locum coverage

● Develop and organize shared hospital drives for each location

● Update and maintain SEVN’s Google calendar for staff meetings, employee birthdays and anniversaries

● Assist with ordering employee birthday and anniversary gift purchases

● Gather and order anniversary doctor/nurse - scrubs/fleece/polo/CSR top

○ Facilitate uniform embroidery and shipments to respective hospitals

● Organize annual SEVN location specific team building, anniversary and holiday parties

● Coordinate annual CSR/PCC and Veterinary Technician week meals, events and gifts

● Organize employee sympathy gifts
