As a Project Coordinator, you will be responsible for establishing and fostering relationships with some of Stellar Element's longest running customers and new clients by managing their monthly retainers and other project requests. You will serve as the main point of contact for clients and internal project teams for numerous digital engagements. You’ll be responsible for ensuring the details of client projects are well organized and executed within budget, in a timely manner, and to the client’s satisfaction.

In this role, you’ll get exposure to many types of digital projects and technologies and work alongside team members with various specialties - from UX design and web development to strategy and quality assurance. You’ll work with our clients and internal team members to develop roadmaps, facilitate sprint planning sessions, and hold daily scrum meetings to deliver meaningful outcomes for our clients and their customers.

Here’s what you’ll be responsible for:

  • Serving as the day-to-day point of contact for managing client relationships on technical engagements such as site support retainers and other project related requests.
  • Facilitating client facing calls such as milestone reviews, routine status calls, strategic goal setting, roadmap planning, and ad-hoc discussions as needed.
  • Building comprehensive reports on budget, timeline, work in progress, and other metrics that help communicate to clients overall project/account success.
  • Identifying opportunities for new scopes of work with existing clients, and working with business development partners to propose and implement change orders.
  • Utilizing organizational tools such as Jira Service Desk, Jira and Confluence for collecting and organizing client requests/feedback.
  • Working with clients to understand project requirements and collaborating with internal team members to translate those requirements into actionable deliverables.
  • Clearly defining/communicating technical task details in the form of user stories to the development and design team as needed.
  • Creating and managing detailed schedules that promote efficiency and team velocity.
  • Facilitate project ceremonies such as product refinement, sprint planning and retrospective meetings, daily stands, and client demos.
  • Documenting key decisions, scope changes, personnel updates, risks and mitigation plans.
  • Taking initiative in attempting to reproduce bugs, asking follow-up questions, and identifying/communicating when requests go beyond the scope of an existing arrangement.
  • Supporting the Project Management Organization in maintaining up to date and accurate resource bookings, status and updates through Stellar Elements systems.
  • Participating in internal training, communication, planning and update meetings.
  • Recording and reporting your time utilization on tasks and projects daily.

The experience we’re looking for:

  • 3+ years of experience managing projects and budgets (technology experience required).
  • Bachelors in a relevant field of study (i.e. Computer Science, Business, Design, Engineering, Liberal Arts) or equivalent experience in relevant field.
  • Consulting services experience and/or external partner/client management experience is a plus.
  • Experience with waterfall and scrum frameworks.
  • Experience writing user stories and acceptance criteria.
  • Familiarity with application lifecycle management tools (such as Jira, Team foundation Server, Rally or Kanban).
  • Understanding of UX design and software development process, methods and rationale is a plus.
  • Solid analytic and reporting capabilities.
  • Experience with analytic tools (such as Excel).
