About The Role
We are seeking a meticulous and detail-oriented Financial Operations Administrator to join our team. The successful candidate will be responsible for overseeing Accounts Payable and Collections. This individual will also contribute to building internal controls, processes and policies relating to these workflows. There is also opportunity for this role to contribute to other ad hoc projects as requested by the Head of Finance and Senior Accountant. Your role will support business decision making by enabling timely and accurate financial reporting to key stakeholders (e.g. capital providers, department leaders, etc.). You will also be regularly interfacing with vendors, customers, and cross-functionally with other Thentia team members. This role requires strong organizational skills, a keen eye for accuracy, and the ability to manage multiple tasks efficiently. The ideal candidate will have a solid understanding of financial operations and procedures, along with excellent communication skills to interact effectively with internal and external stakeholders.
Responsibilities
Accounts Payable Management
Process vendor invoices accurately and in a timely manner
Verify invoice accuracy, including matching invoices to purchase orders/quotes and purchase contracts where necessary
Ensure proper approval and coding of invoices according to company policies
Prepare and process payments via check, ACH, or wire transfer
Reconcile vendor statements and resolve any discrepancies
Record purchasing and payment journal entries in the accounting system
Estimate accrued expenses for month-end financials
Maintain vendor relationships and respond to inquiries in a professional manner
Expense Management & Reporting
Develop processes and controls to improve the accuracy of expense classification and the time to process invoices
Managing employee expense cards and performing routine audits of transactions to assess compliance with the company expense policy
Routine preparation and distribution of spend reports to budget owners
Submission of quarterly input tax returns
Collections
Monitor and review accounts receivable and perform routine follow up with customers on outstanding invoices
Contact customers regarding overdue payments in accordance with contract terms and negotiate payment arrangements when applicable
Record collections in the accounting system
Collaborate with sales and customer service teams to resolve customer billing issues
Prepare and send out collection letters or notices as necessary
Compliance
Stay informed about relevant laws, regulations, and industry standards related to accounts payable and collections
Ensure compliance with internal controls and company policies
Assist with audits and compliance reviews as required
Qualifications
5+ years' experience working as AP/AR
Post secondary education in accounting, Finance or Business Administration
Certification(s) such as Certified Accounts Payable Professional (CAPP), CPA, or similar is preferred
Proven experience in financial operations, with specific experience in Accounts Payable and Collections
Experience with ERP and financial systems (e.g., SAP, Oracle, NetSuite)
Knowledge of sales tax regulations (Canada & Europe; US is a plus) and reporting requirements
Well-developed communication and interpersonal skills, and ability to deal with stakeholders and/or customers in a professional and tactful manner, and express clear, concise, and accurate information
