Wild Card Creative Group is a Worldbuilding Agency. We are a collective of three (3) divisions focused on ONE mission: the advancement of storytelling

  • 3AM is our content innovation studio. We use insights to identify an audience & how to immerse them into a world, then turn stories into participation-first content and experiences (social campaigns, original content, experiential, etc.)
  • Wild Card Editorial & Skip Films create the opening line (trailer, a/v assets), the moment that invites the audience into the story.

Purpose

The Creative Coordinator will take part in both the creative and logistical tasks for the creative department. As a coordinator, you’re primarily responsible for assisting the AV producing team primarily with scheduling and project management. As cuts begin to pile up and versions start to blur together, you’ll need to keep everybody on track and on the same page to avoid misunderstandings. You’ll also need to be comfortable enough with the overall production workflow to step in wherever and whenever you’re needed. No two days will be the same, so staying both adaptable and proactive will be key to succeeding in this role. The ideal candidate is proactive and excited to grow, has a degree in English/Screenwriting, is a movie and content junkie, and has previous executive assistant experience. This role pay 25/hr. 

Job Responsibilities

  •  Coordinate with all internal departments (music, graphics, writers, editors, AEs, etc.) to handle the needs and requests of the team
  • Professionally interface with external clients to schedule calls, coordinate media assets, and handle postings
    • Ability to take detailed notes during client calls as you will often have to reference them later on
  • Assist in project setup and overall asset management
  • Master the details of a project such as job number and bin organization, and guide the departments through these details as needed
  • Responsible for client gifts, award logs, and holiday card management
  • Regularly check in with editors to discuss creative, be sure they have everything they need (GFX, music, copy, etc) and to make sure they are on schedule
  • Watch down spots to ensure quality control
  • Send editors their changes - type up detailed breakdown of the changes then discuss to minimize any confusion and make sure everything makes sense
  • Feature Notes - take detailed notes of any dialogue and/or scenes that might come in handy for a trailer or TV spot.
  • Booking scratch and paid voiceover for films on a weekly, if not daily basis
  • Tracking down soundalikes to fit the trailer or TV spot
  • Work with Runners on scheduling meals for employees and clients QC smaller projects when requested
  • Participate in the creative process including writing, editorial notes, graphics feedback, etc.
  • Must ensure that all administrative needs are met, like time sheets and related projects
  • Prepare creative materials for meetings, including transcripts, posters, trailers, TV spots and any other items that may need to be prepared days ahead of time, and sometimes last second
  • Provide duties using Google suite, word, excel including calendar/scheduling, travel and expenses, filing and covering heavy phones
  • Assist in administrative duties, including: tracking creative deadlines for all AV projects
  • Organize and update Digital Assets like Quicktimes, PDF’s and other creative files
  • Coordinate with Creative Operations department for all a/v dubbing requests
  • Distribute and organize creative materials
  • Upkeep and maintain electronic and file log of all outside vendor agency materials and competitive advertising content
  • Handle confidential information and materials regarding not-yet released films
  • Become familiar with details of campaign in order to become a team participant
  • Interact with department employees to facilitate the completion of all duties and responsibilities

Required Skills

  • 1 year experience as an Creative Coordinator supporting trailer editorial campaigns preferred
  • Familiarity with MS Office and Google Suite
  • Proactive and effective communication skills Incredible organization with a keen eye for detail
  • Quick thinker and multi-tasker who works best under pressure
  • A passion for entertainment marketing
  • Must understand the post-production creative and workflow process
  • Availability to work overtime with little or no advance notice
  • A positive and easygoing team player
  • Experience with file transfer services (Pix, Aspera, Wiredrive, etc) and familiarity with graphics terminology are a plus!
  • Ability to work from home and communicate with team electronically
Pay Range
$22$24 USD
