Job Overview

The role of the Senior Executive Assistant encompasses providing comprehensive support to the Executive Office. This position entails managing a range of tasks and projects within the department to optimize time management, streamline information flow, manage projects, Board meetings, and enhance communication processes to achieve greater efficiency and effectiveness.

The Senior Executive Assistant will report to the Organizational Project Manager (OPM) as a member of the Executive Office. The primary role will involve directly supporting the Executive Office members, including the Executive Director (ED).

Location and Schedule

This position is a full-time role requiring an 8-hour day and a 40-hour work week. It is an Exempt position under the FLSA, meaning it is not eligible for overtime pay.

The Executive Assistant will adhere to a hybrid working schedule, requiring an on-site presence at the corporate office in Bala Cynwyd, PA, on Tuesdays and Thursdays. This role facilitates the option of remote work or office-based during the week, as required. Occasional additional days in the office may be required due to onsite meetings.

Job Responsibilities

  • Administrative 
    • Organize and oversee the calendar and scheduling for the Executive Office.
    • Coordinate and oversee the review process for the Executive Office, which includes managing all aspects of content flow and follow-up.
    • Organize meetings, agendas and documents, and monitor action items, notes and follow-ups from meetings.
    • Contribute to the input of accurate and relevant data into databases. Additionally, play a key role in aiding the development and ongoing maintenance of our technology systems and platforms, including our project management tool, strategic plan, and prioritization processes.
    • Plan and coordinate 3 Board meetings annually; including handling logistics, technology, catering, and venue/travel arrangements, associated communications, etc. to guarantee successful and seamless experiences for all participants.
    • Process reimbursements
    • Pull and create status reports for the Executive Office from project management system, CRM, and other platforms.
    • Help manage Executive Office projects and timelines
    • These responsibilities may change or expand over time, consistent with the organization’s needs and initiatives.
  • Communication and Coordination
    • Facilitate cross departmental communications.

    • Help Executive Office manage all communications with the Board and external contacts

    • Coordinate the travel arrangements for the Executive Office, which includes booking flights, arranging accommodations, and creating detailed itineraries.

    • Maintain confidentiality in all areas of responsibility.

    • These duties may change or expand over time, consistent with our organization’s initiatives.

Job Qualifications

  • The most suitable candidate for this position will have significant experience (eight or more years) in providing high-level administrative support, preferably supporting an Executive team.
  • Proficiency in Google Workspace required
  • Experience in Salesforce (preferred)
  • Experience with project management systems, such as Wrike (preferred)
  • Ability to ensure that sensitive information is handled cautiously and that confidentiality is maintained in all forms of communication and documentation.
  • Ability to diligently prioritize and manage multiple tasks and projects concurrently, ensuring their timely and accurate completion
  • Ability to work independently and within a team environment
  • Detail-oriented and able to handle a fast-paced work environment
  • Ability to work efficiently with a high level of independence and initiative, self-motivated
