As Office Manager, you will work as part of the Operations team to lead the effective day-to-day running of our facilities while continuously improving our operational processes.
What will you be responsible for?
Office and Facilities Management:
- Lead initiatives and process improvements to create an enjoyable and productive office environment
- Manage facilities maintenance with external vendors
- Establish and enforce Health & Safety procedures and ensure day-to-day compliance
- Organise physical and online data
- Oversee the office management budget
- Maintain the key supplies to ensure the smooth running of the office: equipment, stationery, kitchen supplies, refreshments, etc.
Procurement and logistics:
- Purchase office and technical items in a timely and accurate manner
- Manage shipments and ensure deliveries are received
Reception Duties:
- Be the first point of contact for greeting visitors to our facility
- Manage company enquiries by phone call and email
HR Support:
- Organise team events
- Respond to candidate queries
- Arrange interviews using our Applicant Tracking System
There will be opportunities to get involved with other areas of Operations, depending on your interests and background.
Requirements:
- Previous experience of office coordination or management, ideally in a startup environment
- Proven track record in effective task management, project coordination and teamwork
- Excellent communication (written & verbal) – accurate and professional
- Excellent administration & organisational skills
Desirable additional skills:
- Facilities Management experience
- Health and Safety experience
- Experience in procurement, shipping logistics and customs
- Qualified first aider - training can be provided if necessary
Location:
Hybrid with 3-4 days in the office per week. Our office is based in Osney Mead, Oxford.
