The role

The Junior HR Operations Specialist is an entry-level position crucial to supporting the HR department's operational functions. This role requires excellent communication skills, the ability to work autonomously, and the capacity to manage multiple priorities effectively. The ideal candidate will be adept at handling various HR systems and processes independently while maintaining clear communication with senior stakeholders.

Key Responsibilities:

  • Understand and independently manage multiple HR-related systems and processes
  • Continuously improve and optimize HR operational workflows
  • Troubleshoot basic system issues and coordinate with IT for more complex problems

Pre-Onboarding and Onboarding:

  • Ensure all necessary documentation is collected and processed accurately
  • Manage the end-to-end onboarding process for new hires
  • Liaise with external vendors to initiate, monitor, and review background check processes for employees

Employee Lifecycle Management:

  • Track and manage employee probation periods
  • Coordinate and document performance reviews
  • Assist with employee exits, including resignation and termination processes

Compliance and Reporting:

  • Monitor and track employee visa statuses and renewal dates
  • Conduct background checks and verify right-to-work status
  • Prepare and deliver concise reports on HR operational activities

Payroll Support:

  • Assist with payroll operations, providing the relevant data and verification
  • Help resolve payroll discrepancies and queries

Stakeholder Communication:

  • Communicate clearly and professionally with senior stakeholders
  • Address employee queries related to HR policies, benefits, and general inquiries

Priority Management:

  • Balance multiple HR priorities and deadlines effectively
  • Adapt quickly to changing demands and reprioritize tasks as necessary
  • Maintain a high level of accuracy and attention to detail while managing a varied workload

  • Highly organized with strong attention to detail
  • Proactive approach to work and problem-solving
  • Excellent communication skills
  • Ability to manage tasks and priorities effectively

The ideal candidate will have a track-record in delivering results in a fast-moving business and hence be comfortable with change and uncertainty. Excellent stakeholder management experience is essential to being successful in this role.
