About the Role

As a Real Estate Support Assistant, you will provide essential administrative support to real estate agents or brokers, assisting them in various tasks related to property transactions. If you are proficient in speaking and writing in Mandarin, committed to ensuring smooth operations and exceptional service to clients and real estate agents, we'd love to meet you!

Key Responsibilities

  • Assist in managing paperwork and documentation throughout the buying, selling, or renting process.

  • Coordinate appointments and schedule property viewings, meetings, and open houses.

  • Prepare contracts, agreements, and other legal documents accurately and efficiently.

  • Maintain databases of properties, clients, and transactions, ensuring data integrity and completeness.

  • Provide general administrative support to the real estate team, including answering phone calls, responding to emails, and handling inquiries from clients and partners.

  • Collaborate with other team members to ensure smooth and efficient operations within the office.

  • Stay updated on industry trends, regulations, and best practices to provide informed support to the real estate team.

  • Maintaining the company’s standards and procedures whilst managing the role remotely.

  • Communicating effectively to all members of staff.

  • Perform ad hoc administrative tasks as required, demonstrating flexibility and adaptability in handling various responsibilities efficiently.

Other Responsibilities

  • Make necessary process suggestions and improvements which can help the team.

  • Contributes to team effort by accomplishing related results as needed.

  • Perform other related tasks and duties that may be assigned by the client later on.

About You

  • Proven experience in an administrative role, preferably within the real estate industry.
  • Strong communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
  • Fluent written and spoken Mandarin
  • Fluent written and spoken English
  • At least 3 years work experience in similar roles (ideally within Australia)
  • Excellent organisational and multitasking abilities, with a keen eye for detail.
  • Great Interpersonal skills and ability to foster relationships through spoken and written communication
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Flexibility to adapt to changing priorities and willingness to take on new challenges.
  • Familiarity with real estate terminology, processes, and regulations is advantageous.
