Job description

A hybrid position which involves providing comprehensive support to the office staff while also managing key aspects of the office environment. The PAOM  function  will be proactive multitasking with strong organizational and interpersonal skills,  balancing executive support with office management responsibilities.

Key tasks and responsibilities

The role is based in Windhoek, Namibia and at times requires interface with the BWE teams in Houston and other offices globally.

The employees shall in all matters comply with applicable standards, rules and practices. The employee shall work and behave in compliance with the BW Energy code of conduct, values, ethics and company policies.

  1. Executive Support
  • Help manage senior staff’s calendars and appointments.

  • Act as a key point of contact between senior staff and internal/external stakeholders.

  • Help identify key stakeholders, including government entities, local communities, regulatory bodies, industry associations, investors, and environmental groups, among others.

  • Aid with analysing the interests, concerns, and influence of each stakeholder group to understand their needs and expectations regarding the BW Kudu project.

  • Assist in developing strategies to engage with stakeholders through various channels such as meetings, workshops, forums, newsletters, and social media platforms to communicate project updates, address concerns, and gather feedback.

  • Help build and maintain positive relationships with stakeholders through regular interactions, responsiveness to inquiries and feedback, and demonstrating commitment to corporate social responsibility and sustainable practices.

  • Facilitate monitoring stakeholder perceptions, concerns, and feedback over time and providing regular reports to management and relevant stakeholders on stakeholder engagement activities, issues, and outcomes.

  • Help manage media relations and public communications to promote a positive image of the company, assist in responding to media inquiries, and address any issues or controversies that may arise.

  • Screen and prioritize incoming emails, calls, and correspondence.

  • Prepare and edit documents, presentations, and reports.

  • Anticipate and address the needs of all staff to enhance productivity.

-Take notes and draft MOMs from TACs, OpComs and other key meetings with Government and third parties.

-Help prepare, edit, and distribute PP and other formatted presentation material.

-Be available to serve in NAMPOA.

  • Help collaborate with other companies, industry associations, and stakeholders in the oil and gas sector to share best practices, promote industry standards, and address common challenges.

  1. Office Management
  • Oversee day-to-day administrative operations to ensure a smooth and efficient office environment.
  • Coordinate and schedule meetings, conferences, and appointments for the team.
  • Handle general inquiries and provide excellent customer service to clients, visitors, and employees.
  • Implement and maintain office policies and procedures.
  1. Coordination and Collaboration
  • Provide administrative liaison between BWE sections, fostering effective communication and collaboration.
  • Collaborate with team members to ensure seamless communication and workflow.
  • Assist in organizing office events and activities to promote a positive work culture.

-Regularly engage with team members to ensure their well-being, address concerns, and foster a positive work environment.
