Compass Lexecon, a subsidiary of FTI Consulting, is seeking an experienced EA with excellent all-round skills. This person will provide support to our Office Manager, Dusseldorf- and occasionally Berlin team. The ideal candidate will adopt a proactive approach with a positive outlook and should be able to prioritise a varied workload.  This role is suited to someone who enjoys a full and varied day, who can interact confidently with clients and staff of all levels.  The nature of our business is driven by client deadlines and you may be required to work outside the core hours at short notice.

The role requires the candidate to work full time in presence at our Dusseldorf office. Occasional hybrid working could be granted on a discretionary basis.

The role requires the candidate to be fully proficient both in German and English. 

EA Responsibilities:

  • Diary management
  • Time entry and expenses
  • Occasional email management.
  • Assisting the Office Manager where necessary.
  • Occasionally organising travel itineraries.
  • Coordination of meetings including booking of internal meeting rooms.
  • Management of calls, actioning as appropriate.
  • Processing invoices for payment.
  • Preparation of external/internal correspondence.
  • Client management to include maintaining client files, opening matters, issuing contracts, client billings.
  • Maintaining contact database and tracking business development activity via a CRM database – Salesforce.
  • Support the running of the office to include placing food, stationery, office equipment orders and liaising with contractors where necessary.
  • Support to the recruitment team when required.
  • All other ad hoc duties such as post, answering phones, printing, binding and archiving as required.

  • Excellent organisational skills with the ability to prioritise workload and deal with multiple requests.
  • Strong team player who can thrive in a collaborative working environment working closely with the wider EA team and Office Manager on a day to day basis.
  • Ability and willingness to provide cover for other team members of the Administration Team.
  • Strong team player who can thrive in a collaborative working environment which at the same time has the capacity to work on her/his own initiative.
  • Works well under time pressure, can demonstrate a flexible approach to work and be available as and when needed.
  • High level of accuracy with excellent attention to detail.
  • Strong interpersonal skills with the ability to communicate with tact and diplomacy, both verbally and in writing with all levels of the organization.
  • Ability to handle confidential issues with utmost sensitivity and discretion.
  • Professional attitude and with high levels of integrity.

Qualifications and Experience Required:

  • Full proficiency in both German and English.
  • A minimum of 3 years of experience as an Executive Assistant, Team Assistant or Administrative Assistant.
  • Experience in legal services and/or business consultancies is desired but not essential.
  • Experience of using expense and time entry systems is desirable.
  • Intermediate/Advanced proficiency in Microsoft Office suite (Excel, Work, Outlook, PowerPoint).
  • Experience with client interface and understanding of client relationships.
  • Experience dealing with international time zones is essential.
  • PA / Secretarial qualifications are desirable.
