Position Summary: 

As a key member of the Commodity Transportation Services team, the Administrative Assistant works directly with operations staff, drivers, and managers, therefore professionalism and courtesy is a key characteristic of the Administrative Assistant.

Required Skills / Competencies:

Knowledge Areas:

  • Must be reliable and extremely trustworthy.
  • Excellent organizational skills and attention to detail.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Understanding of and ability to adhere to generally accepted accounting principle.
  • Knowledge or ability to learn accounting software.

Technical/Communication Skills:

  • Excellent verbal and written communication skills.
  • Must be friendly and able to work as a team player in a fast-paced environment.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to analyze problems and create solutions.
  • Ability to work under stress.

Experience:

  • High school diploma required.
  • Minimum of 2 years office experience required.
  • Experience in transportation or logistics is helpful.
  • Prior working experience with MacroPoint or scheduling through Retalix, Retail Link, Manhatttan, One Network and Capstone is helpful.

Principal Duties and Responsibilities:

  • Answers and screens incoming telephone calls.

  • Communicates with customers, vendors and departmental personnel via telephone, email, and written correspondence to answer inquiries and provide information.

  • Provide support to the company office and managers.

  • Work with our customers and vendors.

  • Entering purchase orders.

  • Scanning documents.

  • Assist in various administrative tasks.

  • Performs other duties as required.

Expected Hours of Work:

  • This position requires 40 hours per week, as needed, to meet the demands of the business and complete the responsibilities of this position.

Work Environment:

  • Duties and responsibilities are performed in an office.

  • This role routinely uses standard office equipment.

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer

  • Ability to speak to and hear customers and/or other employees via phone or in person
