We're currently searching for a highly organized and compassionate Communications Coordinator to be the first point of contact for our clients and referring veterinarians.
About the role:
The Communications Coordinator will be the first point of contact for clients, veterinarians, and other callers, ensuring efficient and professional handling of all incoming calls. The ideal candidate will have strong communication skills, the ability to prioritize calls, and a compassionate approach when speaking with clients during stressful situations.
Key Responsibilities:
- Answer and triage all incoming phone calls in a timely and courteous manner.
- Provide accurate information to clients regarding hospital services, appointment scheduling, and general inquiries.
- Facilitate communication between clients, veterinarians, and hospital staff, ensuring messages are accurately relayed.
- Maintain professionalism and empathy when speaking with clients, especially during emergencies or stressful situations.
- Follow hospital protocols for handling emergency calls and direct them to the appropriate team members.
- Manage emails, phone messages and return calls as necessary.
- Assist with client follow-up calls, ensuring clear and compassionate communication.
- Update and maintain records of communications within the hospital’s system, including notes on calls and actions taken.
- Coordinate with the veterinary team to ensure seamless communication between external veterinarians and hospital staff.
- Provide administrative support to the front desk team as needed.
- Stay informed about hospital policies, procedures, and services to accurately relay information to clients.
Qualifications:
- High school diploma or equivalent required; associate’s degree or higher preferred.
- Prior experience in a veterinary setting required.
- Strong verbal communication skills, with the ability to handle sensitive information with discretion.
- Ability to remain calm and professional under pressure, especially in emergency situations.
- Familiarity with veterinary terminology and protocols is a plus.
- Proficient with multi-line phone systems and computer software, including email and record-keeping systems.
- Strong organizational skills and attention to detail.
Working Conditions:
- This position is full-time, may require weekends
