Executive Relations Senior Coordinator/Fortune Live Media Division 

 

Fortune Live Media is seeking an initiative-taking, extremely detail-oriented coordinator to assist in managing communications and all data input, tracking and reporting for conference attendees.  

 

The coordinator is responsible for supporting both the Executive Relations and Marketing teams in tracking all data, payments, record keeping and communication for participants of global C-suite live and virtual events. This role maintains the registration process for guests while maintaining a high level of customer service, including pre-event, on-site, and post event. Proven experience with CRM systems and Project management systems, data reporting (ability to organize and present data in a functional and comprehensive way), and data maintenance, are equally important as excellent communication skills and executive presence 

 

The successful candidate will be proactive and solutions-oriented, with a rigorous attention to detail and willingness to pitch in where needed. Candidates must have proven ability to manage multiple demands under pressure, interact with senior management and other departments, and handle confidential information  

 

This position is based in New York City, including the opportunity for remote work, domestic and international travel.  

 

Primary Responsibilities include: 

  • Assist in the management of tracking customers using customized CRM, including campaign set up, data management, payment follow-up and invoice tracking and reconciliation, developing and maintaining event tracking systems and other reporting tools. Tracking of detailed timelines and project deadlines, communicating status and updates internal and external executives. Excel super-user a must 

 

  • Contribute to the analysis of marketing campaigns, attendance projections, and conference audience demographics; develop projections and suggestions for future campaigns 

 

  • Coordination of on-site registration at events, including badges, numbers, materials, reports, planning for, and staffing event welcome desk.  

 

  • Support for marketing campaigns set up and fulfillment, including monitoring event in-boxes, fielding telephone inquiries, responding to requests for information, as well as other work of the department, including attendee projections, audience demographics, internal and external custom requests. 

 

Qualifications: 

- BS in Marketing, Computer Science, Data analytics or related experience. 

- 2-3 years professional experience in customer service, database role. 

- Excel superuser, CRM, Salesforce, Asana, or other marketing automation platforms 

- WordPress, website management a plus 

- Excellent communication and organizational skills, with diligence 

- Ability to multitask and prioritize effectively in a fast-paced environment 

 

Compensation range: $65,000-$70,000 base salary
