About the role

Based in the Orams Marine Village, a stones throw from the bustling North Wharf and Viaduct Basin, this role forms a key part of our shore based vessel maintenance team.

Working alongside the Manager – Marine Assets, maintenance & marine team and internal and external stakeholders.  In your role you will provide proactive coordination and administration of compliance and reporting, the maintenance management system, financial administration including payroll and invoice processing and financial reporting. 

You’ll also provide general administrative support to the team of dedicated engineers and electricians.

Key Responsibilities:

  • Administration, business support, data entry and reporting for Helm Connect
  • Supporting the vessel compliance administration
  • Support all Health & Safety compliance and requirements for the maintenance department
  • Coordinate team meetings, facilitate meeting minutes
  • Develop the rosters for the Response & Recovery team and on-call electricians and engineers
  • Weekly payroll processing & leave form processing
  • Recording & processing purchase orders, supplier invoices and stock issues
  • Providing requested invoice reports & process pro-rate invoices
  • Monthly review of procurement ensuring fiscal responsibility
  • Coordinate Maintenance yearly training

About you:

  • You’re a go getter, who is a whiz with all things administration
  • Not shy when it comes to learning new systems
  • You have an interest in the marine industry
  • A knack for juggling competing demands and multi-tasking in a busy environment
  • Prioritising, forward planning and catering for contingencies is one of your strong points
  • You’ll also have sound judgement and decision-making qualities
  • Understanding of financial acumen including payroll and purchasing processes
  • Proficient with MS Office suite of applications particularly in Excel
  • Previous Engineering administrative experience (desired)
  • Experience in managing inventory of supplies and materials (desired)
