ABOUT THE ROLE

The Donor Database Manager at Proverbs 31 Ministries will strategically manage donor data using the CRM to support fundraising goals playing a key role in achieving the ministry’s mission to eradicate biblical poverty. Responsibilities include ensuring data integrity, analyzing trends, optimizing system functionality, training staff, creating analytical dashboards, tracking donor engagement, and generating detailed reports. The successful candidate will be a systems thinker who is highly skilled in the use of donor management systems and has a deep understanding of managing comprehensive fundraising programs. The ideal candidate will have strong organizational skills, attention to detail, be solution-focused, and possess experience in database management.

WHAT YOU'LL DO

  • Manage all aspects and day-to-day operations of the donor CRM ensuring system functionality including accuracy and completeness of donor records.

  • Develop and implement database policies and procedures to ensure data integrity and communication preferences; amend policies and procedures for greater effectiveness as needed.

  • Regularly audit the database for accuracy and completeness, identifying and correcting any discrepancies or errors.

  • Implement and oversee processes for data quality assurance, including data cleansing and validation.

  • Develop and maintain queries and reports, importing/exporting protocols, and related processes.

  • Serve as the primary liaison to the IT department by identifying opportunities for system improvements and enhanced integration to streamline data entry, increase collaboration, and improve reporting.

  • Create tools and systems to supplement where the database’s functionality is insufficient.

  • Identify and resolve database issues while keeping informed of system updates by using manual and automated processes.

  • Offer training and support to fundraising staff on essential database functions to ensure they can access the necessary information to perform their duties effectively.

  • Create and manage department dashboards for analysis, tracking metrics, and fundraising/financial reporting, including evaluating donor engagement, understanding donor behavior, identifying prospects for increased giving.

  • Collaborate with the Director of Donor Development to track and report on fundraising progress, campaign outcomes, giving trends, and other metrics.

  • Ensure fundraiser portfolios and workbooks are regularly updated and accurately maintained to support ongoing fundraising activities and donor management.

  • Generate and review donor reports for monthly reconciliation with finance and support the annual audit.

  • Oversee all non-marketing based digital donor communications through CRM.

  • Support ministry-wide events, fundraising efforts/activities, and other duties as needed.

WHAT YOU'LL BRING

  • An understanding of and a commitment to the mission of Proverbs 31 Ministries with the ability to quickly grasp our organization's mission, values, and guiding philosophies.

  • Bachelor’s degree in Information Technology, Business Administration, Non-Profit Management, or a related field preferred.

  • 3 years of experience as a Donor Database Manager, preferably within nonprofit or philanthropic organizations.

  • Experience establishing and maintaining database best practices.

  • Proficient in Microsoft Office Word and Excel, Google Workplace Suite, and donor database software (e.g., Virtuous, Raiser’s Edge, DonorPerfect, Salesforce ) including data imports/exports, queries, and building lists for analytical reporting and forecasting.

  • Experience with automations, tracking tools, dashboards, and data visualization tools and techniques with the ability to prepare easy-to-understand reports from complex data.

  • Highly organized with outstanding attention to detail.

  • Ability to work independently and as part of a team.

  • Strong drive and initiative and a high degree of professionalism and discretion.

  • Outstanding time management skills and ability to be accountable for delivering consistent, high-quality work amidst competing priorities and deadlines in a fast-paced environment.

PHYSICAL DEMANDS

  • Working at a computer station and viewing a computer screen for extended periods of time.

  • Sitting or standing for prolonged periods, with opportunities for adjustments to ensure comfort and accessibility.

  • Operating a computer, including typing and using a mouse, as well as handling office supplies and documents.

  • Reading documents and observing project details.

  • Understanding verbal communication in person, over the phone, and in virtual meetings.

  • Occasionally lifting and carrying light objects such as laptops, documents, and presentation materials, typically weighing no more than 20 pounds.
