About the Role

Quest Partners is seeking an exceptionally talented individual to join our team as a Executive Personal Assistant supporting our Chief Investment Officer and Founder. You will work closely with other Quest employees to streamline the workload and day to day responsibilities of our Founder ensuring that their time is used efficiently and effectively.

Time Allocation Expectation:

  • Hybrid work schedule: WFH Monday and Friday; In Office: Tues, Wed, Thurs (9am-5pm)
  • Flexibility in location: may need to travel to Greenwich or Woodstock when not in Midtown Manhattan
  • Accessible by phone and email from 8am-8pm daily; overtime when required
  • Weekend availability by phone when Executive is traveling
  • 1 Sunday a month from 2pm to 9pm – overseeing a meditation workshop

Duties and Responsibilities:

  • Calendar Coordination and Prioritization
    • Partner with Executive Assistant to prioritize and shuffle Executive’s professional, personal, and family obligations
    • Promptly communicate amendments and updates across network to relevant parties
  • Travel Management
    • Schedule, coordinate, and assemble itinerary briefs for domestic and international travel
      • Flights (Commercial & Private), Hotels, Trains, Ground Transportation (rental and car service), Activities
    • Visa and entry permit facilitation
  • Personal Appointment Management
    • Coordinate timing, duration, and scheduling of wellness appointments: medical, fitness, spa, and holistic
    • Facilitate any registration requirements for each appointment including completing detailed applications or online registration
    • Record and maintain meticulous records for all appointments
  • Estate Project Management
    • Manage daily operations for deliveries, coordinate vendor access, verify work order completion against scope of work
    • Flag any delays, adjustments, or breaches of contract
    • Record and maintain meticulous records for all functions across each home
  • Family Coordination
    • Coordinate the movement of two children between Executive and Former Spouse’s households
    • Partner with Executive and Executive’s Former Spouse to manage caregiver, tutor, and professional support schedules – taking lead from Mother and following her directives but keeping Executive abreast of all changes
  • Fiscal Oversight
    • Liaise with Family Office to coordinate vendor setup, bill pay, manage any vendor disputes, and serve as intermediary between Executive and all Finance teams.
    • Meticulously record every dollar spent, and track refunds

 

Experience and Skills:

  • Bachelor’s degree from accredited institution or equivalent experience
  • Willingness to closely adhere to Standard Operating Procedures
  • Demonstrate poise under pressure, impeccable attention to detail, keen ability to ‘read the room’ and adapt accordingly
  • Be an upstream thinker: proactive problem preventer and creative solution-oriented multi-tasker
  • Extreme comfort in ambiguity: able to scale up and lead, fall back and support based on ever-changing dynamic
  • Thrive in fast-paced environment
  • Ability to develop strong relationships, being always reliable and communicative to all parties
  • Low ego, sense of pride in ownership, roll up sleeves ‘can do’ attitude
  • Experience with Microsoft Office Suite (Outlook, Excel, Powerpoint, Word)
  • Experience with iOS – Ipad and/or Iphone
  • Other requirements
    • Driver’s License
    • First Aid and CPR Certified (or willingness to undergo and maintain certification)
    • US Passport and willingness to travel (infrequent but must be able)

The base range for this role is expected to be between $100,000 and $150,000. This does not include other aspects of compensation such as discretionary bonus and a competitive comprehensive benefits package. Actual compensation offered to a candidate will vary within the range above depending on factors such as qualifications, education, and skill level.
