Stronghold is seeking an experienced Manager to oversee our efforts to source courthouse documents from counties nationwide. This pivotal role is ideal for a professional skilled in legal document acquisition who can adeptly manage multifaceted projects across diverse jurisdictions. The successful candidate will demonstrate exceptional communication skills to build strong relationships with courthouses and vendors, ensuring the timely and accurate collection of critical documents. By joining our team, you will play a crucial part in optimizing our document acquisition and ingestion processes, enhancing our capabilities to meet strategic objectives efficiently.

Responsibilities:

  • Forge and maintain relationships with vendors, county clerks, and courthouses to facilitate the acquisition of essential legal documents, including but not limited to deeds, mortgages, and easements.

  • Oversee the project management of document acquisition processes, handling multiple courthouses and legal entities simultaneously to achieve strategic objectives.

  • Develop and sustain productive working relationships with courthouse staff and other relevant entities to ensure a consistent supply of necessary documents.

  • Employ superior organizational skills to manage a broad acquisition pipeline, ensuring the swift and efficient collection of documents from various sources.

  • Implement and uphold stringent quality control measures to confirm the accuracy and legitimacy of all acquired documents.

  • Lead the operational efforts to upload and catalog acquired documents into SIM’s proprietary system, ensuring data accuracy and accessibility.

  • Work closely with cross-functional teams to refine the document acquisition and ingestion workflow, aiming for increased efficiency and effectiveness.

  • Utilize project management tools to track progress, identify and resolve bottlenecks, and optimize overall operations.

  • Report openly and routinely on project progress, challenges, and achievements to ensure transparency and foster continuous improvement within the team and broader organization.

Requirements and Skills:

  • Demonstrable experience in legal document acquisition, or similar roles, with a comprehensive understanding of real estate documentation and law.  Title research experience is a plus.

  • Strong project management skills, evidenced by the ability to manage large-scale and multifaceted projects effectively.

  • Excellent communication and negotiation abilities, crucial for building and maintaining relationships with vendors, county clerks, and courthouses.

  • Proficiency in document management technology and project tracking software.

  • Detail-oriented approach with a keen focus on operational excellence and quality control.

  • Adaptability and problem-solving skills are essential for navigating the dynamic challenges of the role.

  • Bachelor’s degree in Legal Studies or Business Administration preferred, prior work experience in Project Management or Real Estate, or a related field is preferred.
